KOLENE CORPORATION
Seeking a friendly, organized, and dependable Administrative Specialist to assist multiple departments and daily office operations.
Key Responsibilities include:
- Initial contact for general sales inquiries, including company website and social media accounts
- Process all correspondence for departments, such as typing sales proposals and contract preparation, quotes, proposals, sample reports, manuals, letters, at direction of managers while ensuring accuracy of information prior to release
- Plan and coordinate all department meetings for assigned departments; take accurate meeting minutes to create Task Lists and follow up at next meeting to ensure timely completion
- Primary contact for customer sites; responsible for ensuring compliance on all sites
- Manage and maintain all files, in various media, for assigned departments
- Complete and process purchase requisitions as needed
- Answer telephone for assigned team members when not available, and assist in answering company telephones
- Coordinate all details for Trade Shows and conference activities, including forwarding notifications for upcoming shows, registration and ordering of materials for shows, renewal and cancelation of memberships, and procuring giveaways
- Order promotional items and maintain inventory, sending out items as requested
- Provide backup support to other administrative team members
- Help maintain a professional, safe, and efficient office environment
Qualifications:
- Prior administrative experience in an office setting is required, preferably supporting multiple departments
- Strong computer skills are required, including Microsoft Suite at an advanced level
- Exceptional customer service, communication, time management and organizational skills
- Strong attention to detail (like proofreading) and problem-solving skills are critical
- Ability to multitask and prioritize work while maintaining 100% accuracy is needed
- Must be able to work well with other personnel at all levels, especially administrative staff
- Exceptional attendance record must be demonstrated
- High School diploma or equipment required; Associate degree preferred
