Overview
We are seeking a dynamic and personable Front Desk Receptionist/Office Assistant to be the welcoming face and organizational hub of our office. This role is vital in creating a positive first impression for visitors and clients while ensuring smooth daily operations. Responsibilities
- Greet visitors and clients warmly, directing them appropriately and maintaining a professional demeanor at all times
- Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
- Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and stored
- Support calendar management by scheduling appointments, meetings, and coordinating conference room bookings
- Assist with basic bookkeeping tasks such as invoicing, QuickBooks data entry, and expense tracking
- Perform clerical duties including photocopying, scanning, proofreading documents, and maintaining office supplies
Qualifications
- Proven experience in front desk or office administration roles with strong organizational skills
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
- Strong communication skills with the ability to provide exceptional customer support and demonstrate professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Prior office management or administrative experience is preferred; familiarity with bookkeeping software like QuickBooks is a plus
- Demonstrated ability to multitask efficiently while managing time effectively in a busy environment
- Personal assistant or calendar management experience will be considered an asset
