Position Description:
The Safety Net Program Assistant is a part-time, non-exempt position that provides administrative and clerical support to the Safety Net Program, which offers differential response, case management, concrete support services, and post reunification or aftercare services to families referred by Child Protective Services (CPS). This role is responsible for a wide range of administrative duties, including but not limited to greeting visitors, covering the reception area, managing incoming communications, maintaining and organizing files, updating records and documents, assisting with scheduling, and providing general office support to the Safety Net Program team and other programs as needed. The Safety Net Program Assistant works collaboratively across departments and reports to the Program Coordinator.
Duties/Responsibilities: Administrative
- Perform administrative tasks, as necessary, to support both program operations and role responsibilities.
- Receive and maintain the organization of client referrals, including clients from other departments or partner agencies, and disseminate information as appropriate.
- Develop and manage office files and records, monitoring files being pulled or returned by program and administrative staff and overseeing storage or destruction of files in accordance with agency policy.
- Assist with scheduling appointments, meetings, and program activities, ensuring coordination between staff, clients, and community partners.
- Copy, scan, fax, and type documents, correspondence, and other materials as requested.
- Complete data entry accurately and in a timely manner, as assigned.
- Monitor incoming faxes and mail, distribute to the appropriate person, and compile outgoing mail for messenger or external agency delivery.
- Ensure effective day-to-day program and service operations, including implementing protocols, policies, procedures, and evaluations.
- Provide administrative support through document preparation, data entry, scheduling, and office organization.
- Manage office supplies, maintain files and calendars, and oversee distribution of incoming and outgoing mail.
- Participate in and attend regular, ongoing trainings to support professional development.
- Initiate and/or maintain communication with community partners as directed by the Program Coordinator or other leadership team members.
- Use conflict resolution and de-escalation skills as necessary to maintain a professional, neutral, and supportive environment. Communication
- Interact with managers, staff, clients, vendors and other visitors with efficiency, patience and culturally competent.
- Greet clients and other visitors with a positive and professional attitude and directing them to appropriate offices/employees.
- Answer multi-line phone calls and direct calls as required.
- Represent PREVAIL to engage the community and maintain positive relationships with partners and funders, as appropriate.
- Initiate and/or maintain communication with community partners, as needed and directed by Program Coordinator or other leadership members. Office Organization
- Organize and maintain office common areas including, but not limited to, monitoring the level of supplies for the front office, breakroom and reception area. Ensure neat and clean front office area, maintaining files, and managing calendars.

Education and Experience:
- Associates degree in related field and one year of related experience OR two years of relevant experience with demonstrated progress of success.
- Fingerprint clearance is required.
- Reliable transportation, valid California Driver’s License, and proof of insurance.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 50 pounds at times.
- Must be able to ascend and descend up to three flights of stairs throughout a typical workday.
