JOB DESCRIPTION & REQUIREMENTS:
The position of Accounts Payable Administrator requires administrative duties dealing with the verification and accuracy of figures and postings pertaining to business transactions, and inquiries about payment discounts. This position also provides the primary daily backup relief for the front desk receptionist.
Salary: $20/hour
RESPONSIBILITIES
- High volume accounts payable processing
- Enters and pays vendor invoices and team member expense reports
- Data entry and filing
- Requires the set-up and maintenance of payable file systems
- Receive and verify accuracy of invoices and check requests
- Communicate with vendors in regards to the status of invoices and credits
- Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes
- Code documents according to company procedures
- Perform financial calculations, such as amounts due, balances, and discounts
- Reconcile or note and report discrepancies found in records
- Match order forms with invoices, and record the necessary information.
- Reconcile Freight – audit, enter for payment, resolve disputes promptly and effectively.
- The provision of appropriate support to vendors and other departments within Southeast Aerospace.
- Participation in departmental projects and goals as needed
Back-up receptionist:
- Operate multiline telephone system to answer incoming calls and direct callers to appropriate personnel.
- Welcome on-site visitors in a professional and friendly manner, and determine nature of business.
- Monitor visitor access and issues pass when required
- Other clerical tasks as assigned by supervision and company management.
- Adhere to all Southeast Aerospace company policies, safety guidelines, and code of ethical conduct in adhering to company polices, all employees are subject to pre-hire, random, and for cause drug and alcohol tests

QUALIFICATIONS
- High school diploma or equivalent
- Minimum three (3) years of previous accounts payable experience
- Ability to process a high volume in a fast-paced environment
- Strong verbal communication skills in the English Language -Knowledge of the structure and content of the English language including the pronunciation, meaning and spelling of words, rules of composition, and grammar.
- Experience in operation of multiple line phone system and handling multiple incoming calls simultaneously.
- Very strong computer skills and familiarity with Microsoft Office Suite
- Experience working with accounting software programs
- Good organization and communication skills, both verbal and written
- Ability to be flexible and dependable
- Acceptable background check for required matters

Working Conditions
- The working conditions for this position will usually consist of an office environment.
- This position will require the normal business week schedule of Monday through Friday 8am to 5pm.
- These conditions will require excellent organizational, time, and stress management skills to complete all required tasks.
- The ability to move between buildings on campus in a timely manner.
Physical Requirements
There are no particular strenuous physical requirements for this position; however certain environmental conditions that are associated with an office workspace may elevate certain sensory demands. These demands may range from eyestrain from computers for long periods of time to any noise and activity disturbances produced from an active office environment.
