SUMMARY
The Deposit Operations Specialist supports the daily deposit operations functions by ensuring accurate, timely processing and upholding exceptional service standards. This role is responsible for performing key deposit operational tasks and providing support to customers, branch employees, and other departments. The Specialist contributes to maintaining efficient processes, mitigating risk, and providing superior service.
DUTIES AND RESPONSIBILITIES
ESSENTIAL DUTIES
The following tasks are fundamental to the position and necessary for its successful execution:
- Processes incoming and outgoing wires accurately and efficiently, ensuring compliance with banking regulations by verifying customer information, monitoring for suspicious activity, and completing all necessary documentation for each transaction.
- Handles exception items, and performs Remote Deposit Capture file processing.
- Maintains stop payments, conducts basic research on legal processes, and handles document scanning to ensure accuracy and compliance in daily operations.
- Provides internal and external digital banking support by reviewing and processing online account opening applications, as well as verifying and approving mobile deposits.
- Supports branches and internal departments by addressing inquiries, conducting research, and providing timely resolutions and while maintaining high service standards.
- Performs basic research on operational inquiries and resolves issues within established procedures, escalating unfamiliar situations to a Senior Specialist or Lead.
- Handles customer inquiries via phone and email, providing accurate information and directing customers to the appropriate bank personnel to ensure a seamless customer experience.
- May processes daily ACH files for originators on an as needed basis.
- Assists with data collection and preparation of reports for internal tracking, regulatory compliance, and audit reviews.
- Ensures compliance to meet security precautions and protect customer deposits, bank assets and staff.
- Continuously enhances knowledge of regulations through training, webinars, and self-study.
- Consistently exercises sound decision-making skills when addressing inquiries and requests, adhering to existing policies and procedures.
- Follows direction of management to ensure compliance with internal controls, deposit operations policies and procedures.
- Assists with other department functions during staff absences or high workloads.

MINIMUM REQUIREMENTS

- Associate degree or equivalent from a college or technical school; or 1 year of related experience and/or training in an office environment; or the equivalent combination of education and experience.
- Knowledge of related state and federal banking compliance regulations, Bank operational policies and procedures, and the Bank's products and services.
- Familiarity with regulatory and compliance requirements related to data security and fraud prevention.
- Problem-solving skills, utilizing knowledge of policies and procedures to determine resolution.
- Experience using Microsoft 365 and/or Microsoft Office product suite.
- Organizational skills with the ability to set priorities and meet deadlines.
- Ability to work with minimal or no supervision while performing duties.
- Ability to handle confidential and sensitive information with discretion.
- Strong work ethic that supports a willingness to handle multiple tasks with efficiency and accuracy.
- Exceptional verbal, written and interpersonal communication skills with the ability to apply common sense to carry out instructions and instruct others.
- Ability to handle complex problems involving multiple facets and variables in non-standardized situations.
