Operations Specialized — Job Description
Position Overview
We are looking for a highly organized, proactive operations specialist to support the CEO and ensure smooth day-to-day operations across the company. This role blends administrative support, operational management, hands on technical duties such as assembly, logistics, fulfillment, and customer coordination, cross-team communication. The ideal candidate enjoys working in multiple parts of the business, very organized, thrives in a fast-paced environment, and sees themselves growing into a future operations management role.
Key Responsibilities
Executive & Administrative Support
- Provide daily support to the CEO including scheduling, inbox management, meeting preparation, and follow-ups
- Assist with billing, accounts receivable, and accounts payable
- Support purchasing processes, vendor communication, and basic bookkeeping tasks
- Prepare documents, reports, and presentations as needed
Client & Clinician Coordination
- Serve as a point of contact for clients, clinicians, and partners
- Manage client onboarding, access, and communication
- Coordinate with clinicians for evaluations, documentation, and general information requests
- Ensure timely and accurate follow-through on all client-related actions
Operations & Order Management
- Manage order processing, fulfillment workflows, and shipping logistics
- Track inventory levels; assist with reordering and inventory control
- Maintain accurate records in CRM, billing platforms, and internal systems
- Assist in maintaining operational compliance and documentation
- Possibly help with assembly
Customer Success
- Provide responsive customer support via email and phone
- Ensure every client has a smooth experience from initial contact through product delivery
- Track customer feedback and support continuous improvement efforts
Marketing & Events Support
- Assist with coordination of marketing events, demos, and conferences
- Support social media, basic content tasks, and media organization
- Help prepare event materials, product kits, and follow-up communication
Qualifications
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Comfort working across multiple workstreams and switching tasks quickly
- Detail-oriented with strong follow-through
- Experience with scheduling, basic financial tasks, customer service, or operations is a plus
- Interest in growing into an operations leadership or management role
