Job Summary
We are seeking a proactive and detail-oriented Assistant Property Manager, with HOA experience, to join our dynamic property management team. This role offers an exciting opportunity to support the daily operations of residential or commercial properties, ensuring exceptional tenant experiences and efficient property performance. The ideal candidate will possess strong administrative skills, a passion for customer service, and a solid understanding of property management tools and regulations. In this role, you will collaborate closely with property managers, vendors, maintenance staff, and residents to uphold high standards of property upkeep, lease administration, and compliance.
Responsibilities
- Assist in managing lease or rental agreement processes, including renewals, move-ins, and move-outs, ensuring accuracy and compliance with legal standards.
- Support property maintenance coordination by tracking work orders, following up on repairs, and ensuring timely resolution of issues.
- Maintain accurate data entry and filing of tenant records, lease documents, and property management reports using tools such as Yardi, OneSite, or similar software.
- Communicate effectively with tenants and clients via phone and email to address inquiries, resolve conflicts, and promote positive relationships.
- Help oversee property leasing activities by conducting tours, upselling available units, and supporting marketing efforts to attract prospective tenants.
- Assist in budgeting tasks by monitoring expenses related to property operations and preparing reports for review by senior staff.
- Ensure compliance with Fair Housing regulations, LIHTC (Low-Income Housing Tax Credit), Section 8 programs, and other relevant legal requirements.
- Support team management efforts by coordinating schedules, training new staff members on property management procedures, and fostering a collaborative work environment.
Requirements
- Proven experience in property management or real estate administrative roles.
- Strong knowledge of landlord-tenant law, Fair Housing regulations and HOA governing documents.
- Demonstrated experience in customer service, conflict management, negotiation skills, and client communication strategies.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with data entry and filing capabilities.
- Previous experience working within a property management company or facilities management environment is highly desirable.
- Ability to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced setting.
- Excellent phone etiquette and professional demeanor when interacting with tenants, vendors, and team members.
- Knowledge of property maintenance procedures and the use of property management tools (Enumerate Central and BuildingLink is a plus).
- Strong organizational skills with the ability to work in a fast environment.
- Must be available on some Saturdays.
- The ability to use AI.
