About the Position:
The Office Administrator position will require you to provide first-level support to our customers, and coordination and support to our Dallas team. You will be responsible for meeting customer expectations including: quality, performance, timeliness and effective communication. This position will provide a challenge, and a variety of responsibilities, including sales and service support, supply chain, and vendor/supplier services. Due to the variety of responsibilities that this position requires you will need to have a strong combination of communication and organizational skills.
Communication and confidence will be key to this position, both internally and externally. Internally you will need to coordinate, strategize and assist with the day-to-day activities of the sales and service teams. While externally you will be the first-level support to our customers, providing excellent customer service and coordination of job/orders.
Duties and Responsibilities:
- Responding to all customer inquiries in a polite and timely manner, or passing them on to the appropriate department
- Managing day-to-day processes of service repairs, quotations and completions
- Helping management maintain accurate and attainable service calendars
- Collecting accurate information to help team solve customer problems
- Keep customer records and sales reports up to date
- Assisting sales and rental teams with order processing and management
- Assisting with research required for quotes and bids
- Conducting scheduled follow-ups with customers to ensure satisfaction and facilitate future sales
- Carry out clerical duties, including processing customer orders and payments
- Obtain and process product orders, including receiving inventory, registering and placement within stockroom(s)
- Assisting with maintaining the company inventory room through organizing, cleaning and cataloging items on a regular basis
- Processing and shipping orders for customers, including lifting and packing merchandise
- And other responsibilities that the organization deems necessary from time to time

- Verbal and written communication skills to interact clearly with customers, vendors and other employees
- Organization skills to keep accurate records and find important information quickly
- Time management and prioritization skills to ensure efficient functioning office processes and complete a variety of tasks throughout the day
- Patience and listening skills to respond appropriately and interact positively with customers and coworkers
- Interpersonal skills to create a pleasant experience for all customers, such as being personable and attentive
- High school diploma or equivalent
