The Role:
As our Front Desk Administrator, you are the heartbeat of our office. You set the tone every single day for our clients, our team, and our work. You'll be the first person clients hear when they call and the first face they see when they walk in. You'll manage schedules, coordinate between attorneys and clients, handle the dozens of small details that keep a busy law office running smoothly, and make sure everyone who interacts with us feels welcomed and cared for.

What You'll Do:
Client Experience:
· Greet every client and visitor warmly and professionally (in person and by phone)
· Answer and direct incoming calls with patience and professionalism
· Make every person who walks through our door feel welcomed and valued
· Handle difficult situations with grace (upset clients, scheduling conflicts, last-minute changes)
Scheduling & Coordination:
· Manage attorney calendars and schedule client appointments
· Coordinate between clients, attorneys, and support staff
· Confirm appointments and send reminders
· Handle rescheduling and cancellations smoothly
Office Operations:
· Maintain an organized, clean, welcoming reception area
· Manage incoming/outgoing mail, emails, and documents
· Assist with client intake and administrative tasks
· Support the team with day-to-day operational needs
· Be the person everyone knows they can count on when something urgent comes up
Communication Hub:
· Serve as the connection point between clients and attorneys
· Take accurate messages and relay information promptly
· Communicate clearly with clients, attorneys, and staff
· Keep everyone informed and on the same page
What We're Looking For:
Required:
· Previous front desk, receptionist, or customer service experience (ideally 2+ years in a professional setting)
· Exceptional communication skills - you can talk to anyone, and people feel heard and understood when they talk to you
· Warm, professional demeanor - you genuinely enjoy helping people and it shows
· Extreme reliability - you're here when you say you'll be here, you do what you say you'll do, and people can count on you
· Strong organizational skills - you can juggle multiple tasks, prioritize on the fly, and never let things fall through the cracks
· Calm under pressure - you don't get flustered when things get hectic (and sometimes they do)
· Tech-comfortable - you can learn new software quickly and use phones, email, and office systems confidently
· Detail-oriented - small things matter to you (names spelled correctly, appointments confirmed, messages delivered accurately)
· Consistent and settled by 9 AM - you're ready to start your day on time, every day
