This is a unique position and we’re looking for the right candidate who has more than 1+ years experience working in a medical office setting. The right candidate is professional, compassionate, detail-oriented, takes initiative, and can multitask. The ideal candidate will help create a welcoming client experience while keeping the front office running smoothly and efficiently.
Responsibilities
- Answer phone calls, return voicemails, and respond to patient inquiries in a professional and timely manner.
- Greet clients and provide a warm, supportive front office experience.
- Schedule, reschedule, and confirm therapy and medication management appointments.
- Assist new clients with intake paperwork and onboarding.
- Maintain accurate client information in the electronic health record system.
- Support therapist and psychiatric provider schedules.
- Collect copays, balances, and payments as needed.
- Assist with insurance-related tasks, including basic verification and communication with clients regarding coverage when appropriate.
- Monitor cancellations, no-shows, and schedule changes.
- Communicate professionally with clients, providers, and administrative team members.
- Scan, upload, fax, file, and organize documents as needed.
- Maintain a clean, organized, and welcoming front desk area.
- Protect client confidentiality and follow HIPAA guidelines at all times.
- Assist with general office operations and administrative tasks as needed.
Qualifications
- Experience in a medical, mental health, or healthcare office required.
- Previous front desk, administrative, receptionist, or office coordination experience required.
- Strong communication and customer service skills.
- Excellent organization and attention to detail.
- Ability to multitask and stay calm in a busy office environment.
- Comfortable using computers, scheduling systems, email, phones, and electronic health records.
- Professional, reliable, punctual, and self-motivated.
- Compassionate and respectful when interacting with clients.
- Ability to handle confidential and sensitive information appropriately.
- Knowledge of HIPAA preferred.

Pay: From $16.00 per hour

- High school or equivalent (Preferred)
