Overview:
The Mail Services Specialist is responsible for receiving, sorting, opening, processing, distributing, and preparing incoming and outgoing mail for Access Health Services and affiliated companies. This role ensures mail is accurately handled, routed, tracked, and delivered while maintaining confidentiality and compliance with company procedures.
Essential Functions & Responsibilities:
· Receive daily mail from designated postal locations and transport it to the mail room for processing.
· Sort incoming mail by company, plan, department, recipient, and mail type according to established procedures.
· Open and review mail as required by company policy while maintaining confidentiality and accuracy.
· Date stamp documents and correspondence requiring documentation of receipt.
· Process and distribute checks, appeals, grievances, claims, medical records, returned mail, invoices, and other business correspondence according to department procedures.
· Route mail and documents to the appropriate departments, teams, and personnel within established timeframes.
· Prepare, assemble, stuff, and verify envelopes and member mailings for outgoing distribution.
· Coordinate outgoing mail and packages, including proper labeling, postage, and carrier pickup as needed.
· Scan, upload, and distribute documents using designated systems and equipment.
· Utilize Amethyst, Microsoft Office applications, printers, scanners, and other business tools to support mail processing activities.
· Maintain accurate records and organization of mail processing activities when required.
· Ensure compliance with company policies, confidentiality requirements, and document handling procedures.
· Maintain a clean, organized, and secure mail room environment.
· Collaborate with the Fulfillment Coordinator, Fulfillment Manager, and other departments to ensure timely and accurate mail processing.
· Assist with special mailing, fulfillment, and operational projects as assigned by leadership.
· Other duties as assigned.
Required Qualifications:
- Ability to follow detailed procedures.
- Basic computer skills including Microsoft Office.
- Ability to identify and differentiate documents.
- Ability to maintain confidentiality.
- Valid Driver’s License
