Summary:
Reports to the building Principal and Student Support Services. Responsible for complex secretarial tasks involving the performance of office management duties and secretarial duties for principal/coordinator. Provides office and clerical support to assist with the efficient operations of the school building and maintains student cumulative records. Performs secretarial tasks in accordance with standard district practices and in a conscientious, and safe manner. Perform any other duties assigned by the building Principal.
Essential Job Functions:

Maintains student cumulative records/transcripts

Process student enrollments from other schools, registrations, withdrawals, transfers/welfare and social security forms, and transcript requests for all grades in a timely and accurate manner.

Prepare, maintain, and audit student transcripts, ensuring accuracy of grades, credits, GPA calculations, class rank, and graduation requirements.

Assumes responsibility without direct supervision

Exercise sound judgment, initiative, discretion, and independent decision-making while managing multiple priorities and deadlines.

Monitor student academic progress toward graduation and collaborate with counselors and administrators to identify and address credit deficiencies.

Assist counselors and administrators with student scheduling, course enrollment changes, and maintenance of student information system records.

Generate transcripts, enrollment verifications, graduation verifications, records requests, and other official student documents for colleges, employers, military recruiters, scholarship organizations, and authorized agencies.

Maintain accurate student data within the district's student information system and perform routine audits to ensure data integrity.

Compile, verify, and submit student information required for district, state, and federal reporting requirements.

Prepare correspondence, reports, spreadsheets, and other documents related to student records and registration functions.

Maintain confidentiality and security of all student records and information in accordance with FERPA, district policies, and applicable laws.

Assist building administration with student records investigations, residency reviews, data verification, and compliance audits.

Develop and maintain effective working relationships with students, parents, staff, counselors, administrators, and external agencies.

Establish and maintain efficient filing systems, both electronic and paper, to ensure accessibility, security, and retention of student records.

Monitor and enforce district policies, procedures, and state regulations related to student records, enrollment, attendance, and graduation.

Participate in professional development activities related to student records management, state reporting requirements, and student information systems.

Performs other duties as assigned by the principal or district administrators
Qualifications:

Graduation from a general or technical high school

At least four years of secretarial and office experience preferred within the district, or any equivalent combination of experience and training

Proficiency with MS Office Suite (Word, Excel and PowerPoint) and Google Suite (Docs, Sheets and etc.) and typing skill levels
