Position Overview
We are seeking a dependable and detail-oriented Office Administrative Assistant to support daily office operations, order processing, and administrative functions. This role plays an important part in maintaining accurate records, supporting internal coordination, and ensuring smooth administrative workflows across the organization.
The ideal candidate is organized, proactive, and comfortable working with systems and data in a fast-paced office environment. This position provides exposure to multiple areas of the business and is well suited for someone who enjoys learning how operations function within a growing company.
Key Responsibilities
Office Operations
- Perform daily office check-ins to ensure organization and workflow readiness
- Manage incoming calls, emails, and correspondence with professionalism and strong customer service
- Support communication and coordination between Operations, Sales, and Leadership teams
Order Processing & Administrative Support
- Enter customer orders into the system with precision and efficiency
- Verify order details to ensure accuracy before processing
- Maintain organized records of all orders and related documentation
- Prepare administrative reports and order-related documentation as needed
Data Management & Reporting
- Utilize Excel spreadsheets for data collection, tracking, and reporting
- Maintain organized electronic and physical filing systems
- Assist with internal data tracking and documentation processes
Customer Support
- Provide clear and professional responses to customer inquiries regarding order status, timelines, and processing
- Collaborate with internal teams to resolve order discrepancies or issues efficiently
Qualifications
- Previous experience in an office, administrative, or order entry role
- Strong customer service skills in a professional environment
- Working knowledge of Microsoft Excel, including navigating spreadsheets
- Proficiency with Microsoft Outlook and standard office software
- Experience with QuickBooks or similar systems is preferred
- High attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to manage multiple priorities while maintaining service quality
- Strong communication skills and a collaborative mindset

Pay: $20.00 - $25.00 per hour
