We are currently seeking an Administrative Assistant to join our team. This pivotal role involves supporting multiple functions in the company, as well as overseeing other operational needs. The ideal candidate will be organized, self-motivated, and an effective team player.

Principal Responsibilities:
- Customer Support: Serve as the main contact for customers, and provide prompt, professional responses.
- Email and Mail Handling: Manage incoming mail and email inboxes, ensuring timely responses and proper routing of RFQs, POs, and other documents.
- Quote, Order, and Invoice Processing: Assist with creating and distributing quotes, POs, and invoices, ensuring accuracy and compliance with company policies.
- Invoicing and Payments: Generate invoices as needed, send payment links, record payments, reconcile accounts, and follow up on overdue payments.
- Vendor Payments: Process biweekly vendor, contractor, and credit card payments. Record all transactions in QuickBooks and update internal records.
- Bookkeeping: Handle data entry, bill payments, and account management. Prepare biweekly accounts payable reports.
- Document Management: Maintain records for customer/vendor information, certificates, and essential documents while ensuring accurate filing.
- Team Collaboration: Work across the team to ensure smooth workflows and effective communication.
Pay: $42,000.00 - $58,000.00 per year
