- Greet visitors warmly and professionally, directing them appropriately and ensuring a positive first impression
- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using excellent phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
- Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff or executives as needed
- Perform data entry, filing, and record keeping using Microsoft Office Suite and Google Workspace tools to ensure organized documentation
- Support office management tasks such as supply inventory, proofreading documents, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including proofreading documents, managing office supplies, and supporting administrative projects to enhance overall office productivity
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
- Strong customer service orientation with exceptional communication skills and professional phone etiquette
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with front desk operations in medical or dental settings is a plus but not required
- Familiarity with clerical tasks such as filing, proofreading, calendar management, and basic bookkeeping using QuickBooks or similar tools
- Personal assistant experience or medical receptionist background is advantageous for understanding specialized workflows
