Burning Red Management is a growing accounting and management organization supporting the operations, administration, accounting, human resources, and business needs of multiple companies and locations. We are looking for a highly organized, professional, and proactive Office Manager to help keep our headquarters running efficiently and serve as a key point of coordination across the organization.
Position Summary
The Office Manager will oversee the day-to-day administrative operations of the office while supporting leadership and multiple departments. This position requires someone who can manage competing priorities, solve problems independently, maintain confidentiality, and ensure that important administrative tasks are completed accurately and on time.
The ideal candidate is a hands-on professional who takes ownership, has strong organizational skills, communicates well, and can identify what needs to be done without waiting to be asked.
Key Responsibilities
- Oversee daily operations of the corporate office and ensure a professional, organized, and productive work environment
- Manage office supplies, equipment, vendors, maintenance, and general office needs
- Coordinate administrative processes and ensure deadlines are met
- Serve as a central point of communication between management, employees, vendors, and outside partners
- Assist company leadership with administrative projects and special assignments
- Maintain confidential company and employee information
- Coordinate meetings, calendars, appointments, and office events as needed
- Assist with onboarding and administrative support for new employees
- Maintain organized electronic and physical files and company records
- Assist Human Resources and Accounting with administrative functions and documentation
- Review invoices, office expenses, and vendor statements for accuracy
- Coordinate vendor relationships and resolve routine billing or service issues
- Prepare correspondence, reports, spreadsheets, presentations, and other business documents
- Track projects, deadlines, and follow-up items for management
- Help develop and improve office procedures, systems, and workflows
- Ensure company policies and administrative procedures are consistently followed
- Support multiple business locations and departments with administrative needs
- Handle sensitive and confidential matters with professionalism and discretion
- Perform other duties and special projects as assigned by management
What We're Looking For
- 3+ years of experience in office management, administration, operations, or a related role
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Strong attention to detail and accuracy
- Proficiency with Microsoft Office, particularly Excel, Word, and Outlook
- Comfortable working with accounting, HR, and administrative systems
- Ability to learn new software and technology quickly
- Strong problem-solving and decision-making abilities
- Professional demeanor and excellent interpersonal skills
- Ability to handle confidential information appropriately
- Self-motivated and able to work independently
- Strong follow-through and a "get it done" attitude
Preferred Qualifications
- Experience supporting multiple departments or business locations
- Experience working in a growing or multi-location organization
- Experience with NetSuite, QuickBooks, or other accounting/ERP systems a plus
- Experience with HRIS or payroll systems
- Previous experience supporting senior management or company ownership
- Experience in automotive, retail, construction, property management, or other service-based industries a plus
