SUMMARY: The Administrative Assistant is responsible for providing support to the Business Office & Procurement Office by ensuring the accurate input of financial data & filing in related accounting & procurement documents and records.

ESSENTIAL JOB FUNCTIONS:
· Business Office:
o Review, verify, and accurately enter vendor invoices while ensuring proper approval and coding
o Assist with payment processing, ensuring vendors are paid accurately and on time
o Maintain vendor records by verifying payment information
o Provide accounting and clerical support to the Business Office
o Accounts Payable monthly statement review and reconciliation
o File supporting documentation
o Retrieve and distribute mail
o Other duties as assigned by Controller
· Type accurately, prepare and maintain accounting documents and records
· Daily entering of key data of financial transactions
· Update existing data
· Retrieve data from databases or electronic files as requested
· Verify data by comparing it to source documents
· Sort and organize paperwork after entering data to ensure proper filing
· Maintain multiple file cabinets and ensure accurate filing of documents
· Function in accordance with established standards, procedures and applicable laws

WAGE/SALARY:
$18.00 - $20.00 per hour (plus benefits)
SUPERVISORY RESPONSIBILITIES:
None
EDUCATION and EXPERIENCE:
· High school diploma required
· Associate degree or higher in a related field preferred
· Proven accounting, data entry or related office experience preferred
LANGUAGE SKILLS:
· Ability to read documents in English such as policy, procedure and financial documents
· Ability to speak effectively in English on the phone and in person
· Strong proof-reading skills for grammar and punctuation
· Write routine reports, correspondence, business letters, summaries, and reports in English using prescribed format, and conforming to all rules of punctuation, grammar, diction, and style
MATH SKILLS
· Proficient: basic math skills with high attention to detail
COMPUTER SKILLS:
· Excellent accuracy and attention to detail when inputting data in electronic form
· Competency in Microsoft Office programs
· Experience with Costpoint
· Skilled in electronic forms of communication including email, web searching, and data organization
REASONING ABILITY:
· Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
· Read and interpret policy and procedure
