Summary Description
The Project Manager Assistant supports the successful execution of commercial window treatment projects by providing administrative, organizational, and project coordination support throughout the project lifecycle. This role works closely with the Project Manager to ensure projects move efficiently from award through closeout by maintaining accurate documentation, coordinating schedules, communicating with vendors and field teams, and helping resolve day-to-day project needs.

Essential Duties
Project Coordination
- Assist Project Managers with multiple commercial projects from contract award through project closeout.
- Prepare and organize project files, submittals, shop drawings, and closeout documents.
- Track project milestones, schedules, and deadlines to ensure timely completion.
- Coordinate field measurements, material orders, deliveries, and installation schedules.
- Monitor project status and follow up on outstanding action items.
- Maintain accurate project records in JobTread and other company software.
- Assist with project closeout documentation, warranties, and final paperwork.
Purchasing & Documentation
- Prepare purchase orders for review and approval.
- Track material orders, lead times, shipping, and deliveries.
- Coordinate with manufacturers and vendors regarding order status.
- Assist with change orders, RFIs, and project documentation.
- Help ensure project documentation is complete, organized, and current.
Client & Vendor Communication
- Serve as a secondary point of contact for clients, general contractors, vendors, and installation crews.
- Schedule meetings, site visits, and project coordination calls.
- Communicate project updates professionally and promptly.
- Help resolve scheduling conflicts and coordinate project logistics.
Team Support
- Collaborate closely with estimators, project managers, installers, and office staff.
- Assist with weekly project planning meetings.
- Support project managers with administrative tasks that improve project efficiency.
- Help identify opportunities to improve workflows and project organization.
Ongoing Responsibilities for All Team MembersProcess Improvement
- Recommend improvements to project processes and office procedures.
- Support implementation of systems that improve efficiency and organization.
Professional Development
- Participate in training opportunities to increase knowledge of commercial construction, window treatments, and project management best practices.
- Stay current with company software and industry standards.
Office Administration & Team Culture
- Maintain organized digital and physical project files.
- Assist with general office administration as needed.
- Contribute to a positive, collaborative, and team-oriented workplace.
- Support coworkers and pitch in wherever needed in our small business environment.
Required Knowledge, Skills & AbilitiesEducation & Experience
- Associate's or Bachelor's degree in Business, Construction Management, or a related field preferred, but not required.
- 1-3 years of experience in construction, project coordination, project management, or a related field preferred.
- Experience in commercial construction or specialty subcontracting is a plus.
Skills & Competencies
- Exceptional organizational skills with strong attention to detail.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficiency in Google Space
- Experience with JobTread, Bluebeam, or similar construction management software is preferred.
- Strong problem-solving skills and a willingness to learn.
- Positive attitude with a customer-service mindset.
- Ability to work independently while supporting multiple Project Managers
