Job Overview:
We are seeking a full-time Bilingual Surrogate Admissions Coordinator to join our dynamic team and serve a portion of our Spanish speaking clients. Under the direct supervision of the founder/CEO, the coordinator is responsible for supporting admissions operations and ensuring a smooth and welcoming process for the onboarding of GCs. This role involves coordinating applications, managing documentation, and assisting with outreach related to admissions processes.

Key Responsibilities:
- Support the Admissions Department to ensure all surrogates meet agency requirements
- Provide information to surrogate candidates regarding the agency process, compensation, benefits, and required paperwork
- Compose and prepare confidential correspondence related to HIPPA
- Request and track surrogate medical records, ensuring timely retrieval
- Conduct background checks on approved surrogates
- Prepare, review, and process surrogate paperwork with accuracy
- Screen and respond to preliminary inquiries from candidates interested in becoming surrogates
- Serve as a primary point of contact for surrogate applicants, providing ongoing support during the admissions process
- Maintain and organize electronic files
- Coordinate onboarding for qualified surrogate candidates
- Coordinate the development, preparation, and implementation of public outreach
- Track and update Surrogate availability for referral partners on a weekly basis
- Matching of surrogates with intended parents; retrieval of required documents from GC/IP, forward of GC medical records to IVF, and transfer of match to case manager upon medical records approval
- Participate in various office organizational and administrative projects as assigned; contribute to and, as appropriate, manage special projects or studies, including reports, exhibits, and events
- Expand company market reach for GCs
- Market research: work with management to ensure all GC benefits are competitive within the industry
- Meet weekly/monthly/quarterly and yearly company goals
- Other duties as assigned
Requirements:
- Associate's degree in Social Work, Communications, Women's Studies or related field
- Professionally fluent in English and Spanish
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Proficient in Google Suite
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills; Must be able to convey a warm and professional tone via all electronic communication and phone conversations
- Ability to develop good relationships with clients, generating results
- Ability to handle a wide range of issues and answering questions in-person and via email/phone
- Attention to detail and problem-solving abilities
- Discretion and confidentiality in handling sensitive information
- Proactive and resourceful with a positive attitude
- Ability to work independently and collaboratively in a team environment
- Regular and punctual attendance
- Demonstrated ability to successfully work with a diverse community and provide services from a non-judgmental perspective
- Ability to provide first-class customer service, 24/7 availability going above and beyond. This might include providing concierge-type services, scheduling after-hours calls or meetings, and being available on weekends for time-sensitive issues.

- Positive, self-motivated individual with a high level of enthusiasm and willingness to learn and incorporate coaching and instructions into daily tasks and assignments.
Preferred:
- Bachelor's degree in Social Work, Communications, Women's Studies or related field
- Experience in Surrogacy (personal or professional)
- Knowledge of IVF procedures and Obstetrics and Gynecology
Hours:
This is a hybrid position and only open to applicants based in the Carlsbad/San Diego area. The schedule for this role is Monday-Friday from 8:30 am to 4:30 pm PST with in-office days on Tuesday, Wednesday, and Thursday, and remote workdays on Monday and Friday. While the regular schedule is weekdays, occasional evening or weekend work may be required based on business needs.
Compensation:
- Pay range: $22.00 - $27.00/hour, depending on experience with the potential to earn bonuses at $500 per match
- Sick time off
- Eligible for PTO and paid holidays after a six-month probationary period
- Employer contribution of up to $400 for health insurance premium (60 day waiting period)
- Option to enroll in employee paid dental insurance (60 day waiting period)
