Job Summary
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the efficiency of our office environment. The ideal candidate will possess strong clerical and administrative skills. This role requires exceptional attention to detail and the ability to manage multiple tasks simultaneously while fostering a positive workplace culture.
Duties
- Oversee daily office operations, ensuring smooth workflow and efficient processes, and a comfortable and safe work environment
- Oversee updates in HR, Compliance, Regulatory domains, ensuring compliance with HIPAA, OSHA
- Oversee credentialing processes, personnel onboarding, orientation and training processes for team
- Ensure accuracy of timesheets, and manage and process payroll
- Lead/organize recruitment efforts
- Schedule appointments, and coordinate meetings, manage calendars for management when needed
- Develop and update SOPs, maintain organizational systems for both physical and electronic documents
- Assist in budgeting processes, tracking expenses
- Plan and organize company events, meetings, and team-building activities as requested
- Provide clerical support including answering phones, responding to emails, and managing correspondence
- Manage 3rd party vendors, including negotiating contracts, monitoring performance, ensuring timely delivery of services, and reviewing/paying invoices
- Oversee IT operations, including applications management, hardware, and network infrastructure
- Maintain recurring processes such as subscriptions and ongoing services, manage ordering of inventory and supplies
- Manage processes within the electronic medical record (EMR)
- Oversee and participate in billing and reporting processes
- Manage and optimize patient experience
- Assist front and back office staff with operations as needed
- Participate in marketing & communications efforts
- Additional office management tasks as needed
- May involve working at additional sites

Experience
- Proven experience as an Office Manager or in a similar administrative role
- Strong organizational skills with a keen eye for detail
- Proficiency in office software (e.g., Microsoft Office Suite), Workspaces, and familiarity with office equipment
- Excellent communication skills, both verbal and written
- Ability to work independently as well as part of a team
- Experience in event planning is a plus
