Duties
- Manage schedule coordination for internal teams, external vendors, and client appointments using calendar management tools.
- Oversee vendor relationships, including negotiations, and ongoing communication to ensure timely service delivery and completion
- Support event planning efforts by organizing logistics, preparing materials, and coordinating with stakeholders to execute successful events.
- Handle bookkeeping and accounting tasks using accounting software such as QuickBooks; maintain accurate records of financial transactions.
- Assist with different department needs and confidential information handling to ensure compliance and data security.
- Manage office supplies inventory, filing systems, multi-line phone systems, front desk duties, and maintenance team communication to maintain an organized workspace.
- Prepare reports using spreadsheets and Microsoft Office tools; support budgeting and financial analysis activities.
- Support office management initiatives by implementing process improvements that enhance efficiency and productivity.
- Assist with vendor proposals, budgets, and negotiations
Experience
- Proven experience in office administration or operations coordination within a professional environment.
- Demonstrated supervisory experience managing teams or staff members effectively.
- Proficiency with accounting software such as QuickBooks or similar financial tools; solid bookkeeping skills.
- Strong technical proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and spreadsheets for data analysis and reporting.
- Experience with event planning, vendor management, calendar scheduling, and project coordination preferred.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Exceptional communication skills—both verbal and written—coupled with professional phone etiquette.
- Bilingual in both English and Spanish
Schedule: Monday- Friday 10:00 am to 7:00 pm
Pay: Starting $25 hourly
Pay: From $25.00 per hour
