Administrative Assistant – Property Management
We are seeking a friendly, reliable, and highly organized Administrative Assistant to join our growing property management team. This is a multi-functional administrative role providing support across administrative, accounting, and operations functions, along with front desk responsibilities.
The position serves as the primary point of contact for tenants, owners, and vendors and requires strong communication skills, professionalism, and attention to detail. The ideal candidate is comfortable working in a fast-paced office environment as part of a two-person administrative team, supporting multiple areas of the business.
Previous office or administrative experience is required, along with accounting and Accounts Payable experience. Property management experience and familiarity with AppFolio are strong pluses.
Key Responsibilities
Front Desk & Office Support
- Greet clients, tenants, and visitors in a professional and welcoming manner
- Answer and direct incoming phone calls; manage voicemails throughout the day
- Perform daily opening and closing office tasks
- Collect and distribute incoming mail daily
- Complete occasional office errands (supplies, stamps, mail drop-offs)
- Prepare and send occasional mailings, including inspection notices, tenant communications, and company newsletters
Property & Key Management
- Maintain accurate tracking of property keys and lockbox check-in, check-out, and inventory
- Oversee company-issued equipment (including heaters, A/C units, and other temporary property items), including condition, check-in, and check-out
Administrative & Accounting Support
- Assist the accounting department with Accounts Payable and Accounts Receivable, including utility bills and vendor payments
- Communicate with utility companies on behalf of tenants and owners
- Set up and update utility accounts, including account names, mailing addresses, and billing details
- Set up interim utility billing agreements for owners
- Update Google Drive & AppFolio records related to tenant and owner bill payments
- Support insurance audits and administrative documentation for vendors, owners, and tenants
Office Maintenance & Daily Tasks
- Open office each morning: turn on lights, check plant care, restock trash bags, and ensure bathroom cleanliness
Qualifications
- Strong communication and customer service skills
- Excellent organizational skills and attention to detail
- Ability to multitask and support multiple departments
- Valid driver’s license, clean driving record (MVR verification required through DMV), and reliable vehicle are required
- Ability to provide proof of identity and work eligibility
