We are currently in search of an experienced, professional Office Manager. This dynamic role is responsible for ensuring the day-today administrative functions of the organization run smoothly, accurately, and professionally. Working closely with the Executive Director, this role is responsible for general administrative support to the Board and its members, bookkeeping, grant administration support, office operations, vendor coordination, HR recordkeeping and employment practices assistance, facilities coordination, executive assistant duties, and communications.
Key Responsibilities:
Financial Administration & Bookkeeping
Accounting & Reconciliation: Manage AP/AR, code invoices, maintain the general ledger, and perform monthly reconciliations for bank and investment accounts.
Financial Reporting: Generate monthly income statements, balance sheets, and budget-vs.-actual reports for the Executive Director and Board.
Payroll & Tax Compliance: Process payroll, withholdings, and tax filings for federal and Wisconsin state authorities on schedule.
Audit & Regulatory Support: Organize financial records, prepare materials for annual audits (IRS Form 990-PF, state registrations), and assist with regulatory inquiries.
Operations & Grants Management: Track grant disbursements against approved awards and maintain an annual operational calendar for filings and Board meetings.
Office Operations & Administration
Office & Vendor Management: Oversee day-to-day office functions, supplies, equipment, and mail. Manage relationships and service contracts with IT, maintenance, and facility vendors.
Records & Database System: Maintain secure, organized physical and digital archives, create reference guides for authorized leadership, and manage contact databases for partners, vendors, and internal teams.
Board & Meeting Logistics: Coordinate scheduling, agendas, minutes, and informational packets for board, committee, and employee meetings, as well as site visits and events.
Interdepartmental Administrative Support: Handle payroll, ordering, and seasonal staffing needs across shared organizational facilities and operational leads.
Communications: Draft routine correspondence, process incoming inquiries, and manage official donor or partner acknowledgments.

Experience
-
Minimum 5 years of experience in office administration, bookkeeping, or a similar role; nonprofit experience preferred. A minimum of 10 years with increasing levels of
responsibility is strongly preferred. -
Minimum 2 years of experience in accounting or bookkeeping.

Minimum 2 years of compliance-related work experience.

Minimum 2 years of human resources support or management experience.

Demonstrated accuracy and comfort with financial data and records management.

Experience with public-facing contact and supporting a board of directors or senior leadership team preferred.
Technical Skills
-
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) required.

Experience with QuickBooks or comparable accounting software required.
