Job Summary
We are seeking a dynamic and organized Office Assistant to join our team , a custom furniture and design studio! In this vital role, you will serve as the backbone of daily office operations, ensuring smooth communication, efficient administrative processes, and excellent customer support. This position is a great fit for students studying interior design or recent interior design grads looking to gain hands-on experience in a working design studio — you'll get exposure to fabrics, materials, and the ordering process behind custom furniture projects. Duties
- Manage desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Help place and track material and fabric orders, and prepare work orders for custom furniture projects
- Organize and maintain our fabric library and materials, ensuring everything is easy to find and up to date
- Keep our studio management Google Sheet accurate and current, including order status and tracking
- Perform data entry using spreadsheets, Microsoft Office, Google Workspace, and other productivity software to maintain accurate records
- Organize and file documents systematically, ensuring easy retrieval and adherence to company policies
- Assist with calendar management and scheduling appointments for staff members or clients
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
- Provide excellent customer service by addressing client inquiries promptly and professionally, both in person and via phone or email
- Coordinate office supplies procurement and manage inventory to ensure operational efficiency
Experience
- Interest or background in interior design — current students or recent grads encouraged to apply
- Proven office experience with strong clerical skills and familiarity with office management procedures preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with data entry, filing systems, and document proofreading to ensure accuracy
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Strong communication skills, including phone communication and client interaction; bilingual a plus
- Comfort with office equipment such as multi-line phone systems, scanners, and printers, along with basic computer troubleshooting
- Prior experience as a receptionist or personal assistant is a plus
