Purpose of Role
We are looking for an exceptional and devoted Admin/Greeterwho is committed to making a positive difference in people’s lives—someone who is responsible, extremely reliable and organized, self motivated, an outstanding communicator, and a dedicated team player.
You will make the studio feel welcoming and full of life, supporting the director’s vision for the studio by
- ensuring the day to day operations of the studio are on track and running smoothly
- providing excellent customer experience
- ensuring projects are running efficiently and on time
- communicating with the whole team to ensure they can focus delivering an outstanding education
Main areas of responsibility will be
Administration:
- Ensure all internal operations run smoothly and to schedule while keeping the entire team calm and in the loop with all details.
- Manage email inbox and respond in an accurate, friendly, and timely manner, communicating with a cheerful warmth that magnetizes people to the studio.
- Manage billing and payment processing as well as payroll, resolving issues efficiently while preserving retention.
- Follow detailed procedures for tasks such as answering inquiries and enrolling students. May involve alphabetizing, spreadsheets, and use of our email broadcast app.
- Answer questions relating to our programs with the intention of enrolling prospective students into the studio community.
- Keep the studio calendar up to date and accurate on a daily basis, ensuring that all requests are scheduled according to scheduling parameters and team availability.
Relationships:
- Delight students and exceed expectations with above and beyond service and communication. Your warm, relaxed tone makes everyone feel at home.
- Keep open communication with team members, supporting and caring for them to ensure they can focus on what they do best: deliver an outstanding education.
- Connect with past, present, and future students and other visitors face-to-face, over the phone, by physical mail, and digitally, creating a fulfilling experience for everyone.
- Curate and schedule social media posts, complete Canva projects, send video check-ins, and solicit reviews
Facilities:
- Open and close the building, check the bathrooms, empty the garbage, keep the diffusers running, monitor facilities and report any disruptions, keep appointments with technicians.
- Coordinate event details including venue sourcing, team liaison, and promotion with complete accuracy to optimize engagement.
- Assist during student promotional intakes as well as facilitate a beautiful onboarding experience for new students to turbocharge our reputation as the destination studio.
