Responsibilities
- Greet visitors and direct them appropriately, maintaining excellent phone and in-person communication using multi-line phone systems.
- Manage front desk operations during closing shifts, including securing the premises, handling incoming calls, and providing exceptional customer support.
- Perform data entry tasks such as updating records, filing documents, and managing calendars using Google Workspace and Microsoft Office tools.
- Assist with office management duties like organizing files, proofreading documents, and maintaining office supplies inventory.
- Support bookkeeping activities by processing invoices, tracking expenses, and utilizing QuickBooks for financial recordkeeping.
- Ensure proper phone etiquette is maintained at all times while answering inquiries and redirecting calls efficiently.
- Maintain organizational flow by managing appointments, scheduling meetings, and supporting administrative needs with strong time management skills.
Requirements
- Proven experience working at a front desk or in an office environment with clerical responsibilities.
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software.
- Excellent organizational skills with the ability to prioritize tasks effectively during busy closing shifts.
- Bilingual abilities are highly preferred to serve diverse client needs efficiently.
- Previous experience with multi-line phone systems, customer service, and administrative support is essential.
- Knowledge of bookkeeping software such as QuickBooks is a plus.
- Demonstrated professionalism with exceptional phone etiquette and customer support skills.
- Ability to handle confidential information discreetly while maintaining accuracy in proofreading and data management tasks.
