Bill Stout Properties is interested in connecting with an experienced property management professional who could become a strong long-term addition to our team.
We are not hiring simply to fill an immediate vacancy. We are looking for the right person and are open to shaping the position around that individual’s experience and strengths.
The role may include a combination of property management operations, accounting support, accounts payable or receivable, maintenance coordination, executive assistance, client communication, office administration, process improvement, and special projects.
This is not an entry-level position. Candidates should already understand property management fundamentals, general business practices, professional communication, financial and administrative workflows, vendor coordination, and operational follow-through. Training on our specific systems and procedures will be provided.
Potential Responsibilities
Depending on the candidate’s background, responsibilities may include:
- Supporting rental, association, accounting, maintenance, and general business operations.
- Communicating with owners, board members, residents, tenants, vendors, accountants, attorneys, and other business partners.
- Assisting with accounts payable, accounts receivable, invoices, collections, reporting, reconciliations, and financial records.
- Coordinating maintenance requests, inspections, estimates, repairs, vendors, and project follow-up.
- Preparing correspondence, reports, schedules, meeting materials, and internal documentation.
- Supporting company leadership with administrative tasks, research, reporting, scheduling, and special projects.
- Maintaining accurate electronic records across property management, accounting, communication, and document-management systems.
- Identifying inefficiencies and improving existing workflows.
- Using automation, artificial intelligence, software integrations, and reporting tools to reduce repetitive work and support growth.
- Assisting across departments as business needs change.
Qualifications
- Meaningful prior experience in property management, real estate operations, property accounting, maintenance coordination, executive administration, office operations, or a related field.
- Strong understanding of property management fundamentals and general business practices.
- Strong technological ability and confidence learning new systems.
- Experience with property management, accounting, workflow, or office software. AppFolio, Yardi, Buildium, QuickBooks, or similar experience is preferred but not required.
- Strong written and verbal communication skills.
- Excellent organization, accuracy, judgment, and attention to detail.
- Ability to manage multiple priorities and follow responsibilities through to completion.
- Ability to work independently while communicating effectively with the team.
- Regular and reliable attendance during established working hours, subject to applicable leave requirements and reasonable accommodations.
- Ability to perform the essential responsibilities of the position with or without reasonable accommodation.
Preferred Education and Credentials
The following are preferred but are not required:
- Associate’s degree or greater in business, real estate, accounting, finance, property management, or a related field.
- Active Kentucky real estate license or current progress toward obtaining a Kentucky real estate license.
- Accredited Residential Manager designation.
- Certified Property Manager designation or active candidacy toward the designation.
- Additional education, certifications, or professional training related to property management, accounting, business operations, maintenance, or real estate.
The ARM designation is considered a strong advantage. A CPM designation, or meaningful progress toward earning one, is especially desirable.
The Right Candidate
The right person will be experienced, dependable, technologically capable, adaptable, and willing to contribute where their abilities provide the greatest value.
They should understand that automation and process improvement are important to the company’s continued growth. They should be comfortable evaluating existing systems, making practical improvements, and helping create workflows that are efficient, accurate, repeatable, and less dependent on one person.
This person must also be a true team player who communicates clearly, follows through on commitments, supports coworkers, accepts responsibility, and helps solve problems.
Previous leadership or managerial experience is valuable, but this is not necessarily a people-management position.
Pay: $18.00 - $25.00 per hour
