The Studio Manager is responsible for overseeing the daily operations of the martial arts studio to ensure a professional, organized, welcoming, and efficient environment for students, families, and staff.
The primary objective of this role is to allow the Head Instructor to focus fully on delivering a high-quality mat experience and exceptional student development.
This role requires professionalism, leadership, initiative, organization, strong communication skills, and a commitment to excellent customer service.
Key Responsibilities
Member Communication & Parent Relations
- Keep parents and students informed about studio updates, events, announcements, promotions, and schedule changes through email, text messages, phone calls, and printed flyers
- Respond promptly and professionally to parent emails, questions, and administrative concerns
- Contact students and parents regarding missed reservations, attendance concerns, or important follow-up items
- Maintain a welcoming, positive, and professional front desk experience
- Help create a strong onboarding experience for new students and families
Membership & Billing Management
- Ensure all memberships, billing information, waivers, and student accounts are accurate and up to date
- Stay on top of past due payments and communicate professionally with families regarding account issues
- Maintain organized student records and administrative documentation
- Assist with enrollment paperwork and membership processing
- Maintain accurate attendance and member information within studio systems
Sales & Student Enrollment
- Conduct face-to-face consultations with prospective students and families
- Convert intro lessons into memberships through relationship building, professionalism, and consistent follow-up
- Perform follow-up communication with leads, trial students, inactive students, and canceled members
- Track lead activity, intro lesson performance, and conversion metrics
- Ensure no prospective student or inquiry falls through the cracks
Retention & Student Experience
- Monitor attendance trends and proactively reach out to students who become inactive
- Help maintain strong student and parent relationships
- Support student retention through consistent communication and follow-up
- Celebrate student milestones, promotions, and achievements when appropriate
- Assist in creating a positive and encouraging academy culture
Operations & Organization
- Maintain inventory of uniforms, retail items, office supplies, and cleaning supplies to ensure the studio is never out of essential items
- Ensure important documents such as curriculum materials, schedules, waivers, and event information are printed, organized, and readily available
- Create and maintain operational systems, checklists, and procedures
- Ensure front desk operations and administrative systems run consistently and efficiently
- Anticipate operational issues and proactively solve problems before they affect students or staff
Staff Scheduling & Coordination
- Manage instructor schedules and assist with staffing coordination
- Maintain communication with instructors and staff regarding scheduling updates and studio operations
- Help ensure staff members are prepared, punctual, and informed
Facility Management
- Ensure the facility remains clean, organized, professional, and well-maintained at all times
- Monitor cleanliness of mats, lobby, bathrooms, offices, and common areas
- Identify maintenance issues and coordinate timely solutions
- Help maintain a professional appearance and atmosphere throughout the academy
Event Coordination
- Assist with the planning and coordination of belt tests, tournaments, workshops, camps, and special events
- Ensure event communication, registration, logistics, staffing, and materials are organized and prepared
- Assist with event setup and breakdown when needed
Schedule Expectations
The Studio Manager position is a full-time role that requires availability during the academy’s primary operating hours.
Typical Operating Schedule
- Monday–Thursday: 12:00 PM – 8:00 PM
- Friday: 12:00 PM – 7:00 PM
- Saturday: 7:45 AM – 12:00 PM
Additional hours may occasionally be required for tournaments, seminars, testing, camps, special events, staff meetings, or academy functions.

Professional appearance is required. Nose or lip earrings, excessive ear piercings, visible tattoos that cannot be covered, and bright or unnatural hair colors are not permitted.
Pay: $52,000.00 - $60,000.00 per year
