Role Title: Smartsheet Certified Architect & Control Center Lead
● Term: 12-Month Independent Contractor (Full-Time, 40 hours/week)
● Objective: To maintain, optimize, and scale the organization's Smartsheet PPM ecosystem, driving digitaltransformation through architectural governance, advanced integrations, and user enablement.
1. Control Center & Architecture Management
The Consultant will serve as the primary architect and administrator for the Software Deployment Smartsheet ControlCenter (SCC) environment, ensuring system integrity and scalability.
● Blueprint Evolution: Design, test, and deploy modifications to existing Control Center Blueprints (includingintake sheets, project templates, and blueprint summaries) to adapt to evolving business requirements.
● Global Updates: Execute and troubleshoot Global Updates across provisioned project sheets to push out structural changes seamlessly.
● Workspace Provisioning: Oversee the automated provisioning queue, ensuring projects are spinning upcorrectly and troubleshooting any SCC generation errors.
2. System Expansion & Advanced Reporting
The Consultant will expand the current ecosystem to support cross-departmental workflows and high-level executive visibility.
● Cross-Functional Buildouts: Design and deploy new workspaces, sheets, forms, and dashboards for departments adjacent to the PPM workspace (e.g., Finance, Resource Management, Operations).
● Portfolio Reporting: Build and maintain cross-sheet summaries, Pivot configurations, and Master Dashboards to deliver real-time, aggregated data to executive leadership.
● Premium Apps & Integrations: Architect and configure solutions using Smartsheet Premium Apps (Data Shuttle, Dynamic View, Pivot, Calendar App) and manage connections/integrations with external enterprisesystems (e.g., Jira, Salesforce, ERPs) and internal data warehouses.
3. System Maintenance & Technical Support
The Consultant will act as the Tier 2/3 technical escalation point for the organization’s Smartsheet users.
● Troubleshooting: Diagnose and resolve complex formula errors (e.g., INDEX(MATCH), cross-sheet references), broken automated workflows, and cell-linking loops.
● System Health Audits: Conduct regular reviews of sheet sizes, cell-link capacities, and automation limits to prevent performance degradation.
● Access Control: Manage user licenses, workspace permissions, and sharing configurations aligned with internal security governance.
4. Governance, Documentation, & Training
To ensure long-term sustainability, the Consultant will treat the Smartsheet environment as a formal software product.
● Technical Documentation: Maintain an up-to-date system architecture map, blueprint logic documentation, and data dictionaries.
● Change Management: Produce "Release Notes" or summary logs detailing system changes, new features, and architectural updates for internal stakeholders.
● Enablement: Develop training materials (job aids, recorded micro-learnings) and conduct training sessionsfor project managers and end-users during new workspace deployments.
Contractor Requirements & Qualifications
● Certifications: Smartsheet Certified Core Product Consultant (Required); Smartsheet Certified Architecture/Control Center Lead (Highly Preferred).
● Experience: 3+ years architecting enterprise-grade Smartsheet environments, and at least 1 year of ControlCenter management (Required). Premium App suite experience (Preferred).
● Skills: Expert-level mastery of advanced Smartsheet formulas, sheet-to-sheet data design, governance protocols, and API/Data Shuttle integration mechanics.
