We are currently hiring for a Corporate Administrative Manager. This is not your typical admin job. You'll be the central hub connecting ownership, GMs, vendors, contractors, and corporate partners. You'll use modern AI tools to move faster than a traditional admin ever could — automating reports, drafting communications, summarizing meetings, and surfacing insights from operational data. What You'll Do
- Project Management: Run cross-location initiatives (new openings, menu rollouts, equipment installs, marketing campaigns) from kickoff to delivery — owning timelines, budgets, and accountability.
- AI-Powered Operations: Leverage tools like ChatGPT, Claude, Notion AI, and automation platforms (Zapier, Make) to streamline reporting, documentation, scheduling, and communications. Continuously identify where AI can save the team hours.
- Stakeholder Communication: Be the trusted point of contact for ownership, GMs, vendors, landlords, accountants, legal counsel, and corporate partners. Translate between operators and executives with clarity.
- Contract Negotiation: Review, negotiate, and manage vendor agreements, service contracts, supplier terms, and lease-related documents. Push for favorable terms and track renewal calendars.
- Office & Back-Office Administration: Oversee corporate office operations, recordkeeping, compliance documentation, insurance certificates, licenses, and permits across all locations.
- Executive Support: Manage calendars, prepare briefing materials, organize leadership meetings, and follow through on action items.
What We're Looking For
Required:
- 3+ years in office administration, operations coordination, or executive support — ideally in hospitality, multi-unit retail, or a fast-moving SMB
- Fluency with AI tools (LLMs, prompt-building, AI-assisted workflows) — you should be able to show us how AI has made your work better
- Proven project management skills — comfortable running 5–10 concurrent initiatives
- Strong negotiation instincts and experience reviewing/redlining contracts
- Excellent written and verbal communication; can hold their own with both line cooks and attorneys
- Highly organized, deadline-driven, and discreet with sensitive information
Nice to Have:
- Experience in restaurants, food & beverage, or hospitality groups
- Familiarity with restaurant systems (Toast, Square, R365, HotSchedules, etc.)
- Bookkeeping or AP/AR exposure
- Bilingual (English/Spanish a plus)
