Job Summary
We are seeking a detail-oriented and experienced Office Manager to oversee all back-office operations at our Tampa location. This critical role is responsible for title processing, accounts receivable/payable, monthly financial reconciliations, and ensuring smooth compliance with all dealership procedures. You will work extensively with Cox Automotive tools including DMS, as well as Vitu.
Key Responsibilities
- Manage all vehicle title work, including processing titles, registrations, lien releases, and state filings for new and used vehicles
- Handle full-cycle Accounts Receivable and Accounts Payable
- Perform monthly bank reconciliations, account reconciliations, and financial close processes
- Utilize Cox Automotive platforms daily (VIN, vAuto, Dealer Management System, and F&I) for inventory, sales, and financial operations
- Maintain accurate records and ensure compliance with all federal, state, and local regulations
- Work closely with sales, finance, and management teams to resolve discrepancies and support smooth vehicle deliveries
- Oversee office administration, filing systems, and document management
- Assist with dealership reporting and audits as needed
- Identify and implement process improvements to increase efficiency
Qualifications
- 2+ years of Office Manager or similar experience in an automotive dealership environment (highly preferred)
- Strong working knowledge of Cox Automotive products (VIN, vAuto, DMS, F&I) is a major plus
- Solid understanding of title processing, vehicle registration, and dealership accounting procedures
- Excellent organizational skills with high attention to detail
- Proficient in Microsoft Office (especially Excel) and dealership management systems
- Strong communication and problem-solving skills
- Ability to work independently in a fast-paced environment
- Must be reliable, professional, and able to pass background screening

Pay: $47,000.00 - $70,000.00 per year
