Position Overview
We are seeking a highly organized and customer-focused Clinic Administrative Coordinator to support the daily operations of a busy healthcare clinic. This role serves as the primary point of contact for patients, staff, and healthcare providers while ensuring efficient clinic operations, scheduling, administrative support, and compliance with healthcare regulations.

Key ResponsibilitiesClinic Operations
- Manage patient scheduling, appointment coordination, check-in, and check-out processes.
- Maintain accurate scheduling and appointment records.
- Coordinate clinic calendars and assist with daily operational workflow.
- Support general front desk and administrative functions.
Patient Services
- Serve as the primary point of contact for patients, staff, and visitors.
- Provide exceptional customer service both in person and over the phone.
- Respond to emails, phone calls, and general inquiries in a professional and timely manner.
- Maintain patient confidentiality and provide a welcoming environment.
Administrative & Financial Support
- Process patient payments through secure payment systems.
- Assist with accounts receivable activities and payment tracking.
- Support purchasing, supply ordering, and procurement functions.
- Maintain accurate records and documentation.
Compliance & Documentation
- Ensure compliance with HIPAA regulations and organizational policies.
- Maintain secure and confidential patient records.
- Assist with administrative reporting and documentation as needed.
General Support
- Provide administrative assistance to clinic leadership and healthcare professionals.
- Coordinate office supplies and operational resources.
- Perform additional administrative duties and special projects as assigned.
Required Qualifications
- Associate's degree or an equivalent combination of education and experience.
- Minimum of 2 years of administrative experience in a healthcare, clinical, or related setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Experience with Electronic Medical Records (EMR) or Electronic Health Records (EHR) systems.
- Excellent organizational, multitasking, and time management skills.
- Strong verbal and written communication skills.
- Outstanding customer service and interpersonal abilities.
- Ability to handle confidential information and maintain HIPAA compliance.
- Ability to work both independently and collaboratively in a team environment.
Preferred Qualifications
- Experience in a healthcare, academic, or clinical environment.
- Experience with accounts receivable, payment processing, or procurement.
- Experience supporting multidisciplinary teams.
- Familiarity with healthcare administrative systems and workflows.
