About the Role
We are seeking a detail-oriented and proactive Construction Administrator to join our team. This role supports the project management team, oversees documentation and communication workflows, and ensures smooth coordination between field operations, subcontractors, vendors, and clients. The ideal candidate is organized, technically proficient, and enjoys working in a fast-paced construction environment.
Key Responsibilities
- Manage and maintain all project documentation, including contracts, RFIs, submittals, change orders, and meeting minutes
- Assist with project scheduling, tracking deadlines, and coordinating deliverables
- Support project managers with bidding processes, procurement, and subcontractor onboarding
- Ensure compliance with company standards, project specifications, and regulatory requirements
- Serve as a liaison between office and field teams, facilitating clear communication and issue resolution
- Process invoices, pay applications, and maintain accurate financial and budget records
- Maintain organized digital and physical filing systems for all project data
- Prepare reports, correspondence, and presentations as needed
- Assist with permitting and municipal documentation
- Support closeout processes, ensuring timely submission of warranties, O&M manuals, punch lists, and final documentation
Qualifications
- 3+ years of experience in construction administration, project coordination, or related roles
- Strong knowledge of construction documentation, terminology, and workflows
- Proficiency in construction software such as Procore, PlanGrid, Bluebeam, LCP Tracker or similar tools (preferred)
- Excellent organizational, communication, and time-management skills
- Ability to multitask and manage competing priorities under tight deadlines
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- High attention to detail and commitment to accuracy
- Associate’s or bachelor’s degree in construction management, business administration, or related field (preferred but not required)
