QUALITY ASSURANCE & PERFORMANCE IMPROVEMENT (QAPI)
CPA 1: SECRETARIAL TASKS *
- Greet and direct patients and visitors, handle relevant paperwork, and provide accurate responses in a friendly and courteous manner.

Address customer inquiries, requests, and needs courteously, professionally, and efficiently.

Receipt payments accurately.
-
Do MSP verification in Avatar by verifying financial eligibility every 75 days and verify insurance and PCP for each patient @ check in.
-
Receive and transfer telephone calls promptly, using appropriate telephone etiquette.
- Handle telephone information requests with courtesy, accuracy, and respect for confidentially.
-
Work cooperatively with admissions office and clinical staff to ensure good communication regarding admissions.
-
Transfer prescription refill calls to nurse’s script voicemail @ extension 5055.
- Check overnight messages and notify appropriate person(s).
-
Schedule appointments, meetings, and rooms as needed in an accurate and timely manner.
-
Enter Release of Information Authorizations in computer, when received at front desk.
-
Perform other clerical functions for staff, upon request; ensure instructions are properly completed.

Print Appointment Preparation Report and if needed Face sheets.
-
Print Admission paperwork, file in appropriate folder at front desk and/or prepare for financial counselor for the next day.
-
Maintain Admission paperwork folders and trays. Recycle if 3 months or older.
-
Bring mail in from mailbox and distribute appropriately.
-
Enter Outcomes (TAS, Treatment Alliance Scale) in EMR
-
Notify Admission staff when an initial EAP is a no show.
-
Monitor confirmation call list keeping for 2 months.
-
Maintain Appointment Book Sheet file for verification and discrepancies.
- Maintain Vehicle Appointment Log
-
Verify and correct demographic information for patients @ check in.
-
Check “Inphonite” for McPherson & Hillsboro
-
Keep Visitor sign in sheets & file in book
-
In rotation check Patient Portal for messages and completed paperwork
CPA 2: PROFESSIONAL DEVELOPMENT
- Work cooperatively with supervisor to complete professional development plan.
- Utilize Relias Learning site to increase awareness in areas required, as well as to enhance skills used in position.

Attend in services and workshops to enhance performance and education, pertinent to job duties and for personal growth, as time and resources allow.
-
Attend building, staff, and department meetings as requested by supervisor.

CPA 4: Quality Assurance & Performance Improvement (QAPI)
- Participate in organizational Quality Assurance & Performance Improvement activities. Be familiar with Quality Assurance & Performance Improvement initiatives and goals in work area. Annually review the Quality Assurance & Performance Improvement Plan.

POSITION QUALIFICATIONS:

Minimum Education: High School degree or GED required

Minimum Experience: Two years prior secretarial work experience

Must have ability to perform general office work

Must have ability to read and write

Must demonstrate grammar proficiency and good communication skills

Must demonstrate proficiency in typing/computer skills
-
Must have ability to work independently to meet deadlines with little supervision required

Must demonstrate initiative and accept responsibility for routine decision making

Must demonstrate knowledge of procedures, policies, etc.

Must demonstrate a high degree of accuracy
-
Must be able to sit at a computer a minimum of two hours
