Transaction & Listing Coordinator

About the Role
REMAX Bayshore is hiring a Transaction & Listing Coordinator to support our agents through two of the most detail-critical phases of the real estate process - bringing listings to market and closing transactions. This is a high-volume, detail-driven role in a fast-paced brokerage serving the Northern Michigan market.
You'll work directly with agents and brokerage leadership to keep listings launching on time and deals moving from contract to close all while ensuring compliance, communication and deadlines never fall through the cracks.
What You'll Do
Listing Coordination
- Coordinate listing setup and launch including MLS input, photography scheduling, sign orders and marketing handoffs
- Ensure listing files are complete, accurate and compliant at every stage
- Communicate with agents on listing timelines, deadlines and outstanding items
- Support listing marketing coordination in collaboration with the team
Transaction Coordination
- Manage transaction files from executed purchase agreement through closing
- Track contingency dates and deadlines; proactively flag issues before they become problems
- Coordinate with agents, clients, lenders, title companies and cooperating agents
- Ensure all required documents are collected, completed and compliant with Michigan real estate law and LARA requirements
- Maintain accurate records in Dotloop and the CRM

- Clear, professional communicator across all parties

- Tech-comfortable and quick to learn new platforms
- Team-first mindset with a genuine desire to support agents and clients
Prior experience in real estate, transaction coordination or listing support is neat but not required. We'll train the right person.
