HR Coordinator
Aggieland Autism Center, LLC provides the highest standard of ABA therapy in a faith, family, and community-friendly atmosphere. Based in College Station, Texas, AAC also operates Montgomery Autism Center and has aspirations to continue growing into additional locations in the future.
We are seeking an organized, dependable, and people-focused HR Coordinator to support the people and systems behind our clinical and administrative teams. This position supports recruiting, onboarding, employee records, payroll preparation, benefits administration, employee relations, training coordination, culture, performance reviews, and day-to-day HR operations.
The HR Coordinator plays an important role in creating a clear, professional, and consistent employee experience—from the first candidate interaction through onboarding, development, and ongoing employment.

The HR Coordinator helps protect and strengthen that culture by supporting the systems that allow AAC to recruit the right people, onboard them effectively, maintain accurate employment records, administer employee programs, support managers, and follow through on organizational priorities.
Responsibilities
- Coordinate candidate communication, interview scheduling, hiring paperwork, and onboarding activities.
- Assist with job postings, applicant tracking, reference checks, background check coordination, and hiring-process updates.
- Track recruiting metrics, including applicant flow, interview completion, time-to-hire, candidate sources, and hiring-pipeline activity.
- Support new-hire onboarding to ensure employees understand company expectations, culture, policies, procedures, and role requirements.
- Maintain accurate and confidential employee records, personnel files, certifications, training documentation, acknowledgments, and required HR forms.
- Conduct routine employee-file audits to ensure documentation is accurate, complete, organized, and current.
- Assist with employee handbook and policy updates, policy distribution, employee acknowledgments, and documentation tracking.
- Assist with HR compliance tracking, including employment eligibility, required notices, training records, policy acknowledgments, and personnel-file requirements.
- Serve as a professional point of contact for routine employee questions regarding HR processes, policies, benefits, timekeeping, training, payroll preparation, and documentation.
- Maintain confidentiality and handle sensitive employee, payroll, benefits, incident, and performance information with integrity and discretion.
- Audit employee timesheets for accuracy, completeness, missed punches, PTO entries, attendance concerns, schedule alignment, and approval readiness.
- Prepare payroll information for leadership approval by reviewing hours, pay changes, deductions, PTO, corrections, and supporting documentation.
- Coordinate with leadership, managers, and payroll/bookkeeping support to resolve payroll and timekeeping questions before submission.
- Track attendance patterns, absences, tardiness, PTO usage, missed punches, and required follow-up according to company policy.
- Provide benefits administration support, including enrollment assistance, eligibility tracking, employee questions, documentation, and communication with benefit providers and leadership.
- Support workers' compensation and incident documentation by tracking workplace injuries, incident reports, required forms, follow-up items, and related communication.
- Support employee engagement, retention initiatives, internal communication, and employee-recognition processes.
- Coordinate the training calendar, including onboarding training, recurring training, required meetings, review deadlines, and certification-related timelines.
- Track licenses, certifications, credentialing requirements, and renewal deadlines for clinical staff.
- Support employee review processes by scheduling reviews, preparing documentation, tracking completion, and helping managers maintain consistency.
- Assist with performance documentation, corrective-action records, employee-development documentation, and required follow-up.

- Receive and document employee questions or concerns professionally, maintain appropriate confidentiality, and follow established escalation procedures.
- Support leadership with consistent, policy-aligned responses to employee relations, attendance, performance, conduct, and workplace concerns.
- Maintain employee-relations documentation for concerns, complaints, conflicts, policy violations, performance matters, and leadership follow-up.
- Support offboarding processes, including exit documentation, final timekeeping review, benefits and payroll follow-up, company-property return, and transition communication.
- Assist with continuous improvement of HR processes as AAC grows and as Montgomery Autism Center and future locations create additional people-operations needs.
- Support leadership with HR reporting, employee communication, administrative HR functions, and other people-operations needs.
- Track and maintain HR-related EOS scorecard measures, Rocks, To-Dos, and Issues List items while supporting timely follow-through and accountability.
- Support other HR and people-operations responsibilities as assigned, consistent with the role's purpose and level of responsibility.
Requirements
- Associate degree in human resources, business administration, office administration, or a related field preferred; equivalent education and relevant professional experience will also be considered.
- At least one year of relevant human resources experience.
- Strong organizational skills, follow-through, and attention to detail.
- Clear and professional written and verbal communication skills.
- Ability to handle confidential and sensitive information with integrity and discretion.
- Ability to manage multiple priorities, deadlines, and sensitive employee matters.
- Dependable, proactive, and able to work effectively with clinical, administrative, and leadership team members.
- Ability to document information clearly, follow established processes, and escalate concerns appropriately.

- Experience with Microsoft Office, Google Workspace, applicant tracking systems (ATS), HR software, payroll systems, timekeeping systems, or similar business technology.
- Ability to satisfy applicable pre-employment requirements, including employment eligibility verification, reference checks, and background screening.
Preferred Qualifications
- Bachelor's degree in human resources, business administration, or a related field.
- Experience in recruiting, onboarding, payroll support, benefits administration, office administration, or other people-operations functions.
- Experience in healthcare, behavioral health, therapy, education, childcare, ABA, or another service-oriented environment.
- Familiarity with employee documentation, compliance tracking, onboarding workflows, payroll preparation, benefits administration, workers' compensation documentation, or training records.
- SHRM or HRCI certification, HR coursework, or other relevant professional education or credentials.
- Experience working with EOS or another structured business operating or accountability system is helpful but not required.

The HR Coordinator should be comfortable working in a growing organization where systems are important, documentation must be accurate, priorities may change, and details directly affect the employee and client-family experience.
AAC uses the Entrepreneurial Operating System (EOS) to create clarity, accountability, and consistent follow-through across the organization. The HR Coordinator will participate in the EOS meeting rhythm and help maintain HR-related Rocks, scorecard measures, To-Dos, and Issues List items.

Schedule: M-F 8am - 5pm
Compensation: $50,000-65,000, based on qualifications and experience.
Work Setting: Office (no remote/virtual options available)
Travel: Occasional travel between Aggieland Autism Center in College Station and Montgomery Autism Center may be required based on organizational needs. Additional travel for professional training, conferences, conventions, or other professional development opportunities may be encouraged as appropriate for the role.
