We’re looking for a highly organized, customer-focused Sales Support Specialist to support our Waite Park, MN location. This role blends front-office coordination, inventory and operations support, and light sales support activities. You’ll play a key role in keeping the office running smoothly while supporting both our customers and internal team.
What You’ll Do
Office & Customer Coordination
- Serve as the first point of contact for incoming calls, walk-in customers, and guests
- Open and close the office daily following established procedures
- Maintain a clean, organized, and professional showroom environment
- Order and manage office supplies and coordinate facility needs
Sales Support (Non-Sales Role)
- Assist customers in identifying appropriate products and solutions
- Follow up with customers to ensure satisfaction and support ongoing needs
- Route sales leads, customer questions, and service requests to the right team members
Operations & Order Processing
- Process sales orders and provide order status updates
- Prepare customer quotes and invoices
- Support the sales team by preparing equipment for delivery
- Maintain accurate inventory levels, including rental equipment when applicable
- Ship customer orders and coordinate transfers between locations
- Receive, unload, and stock incoming inventory shipments
What We’re Looking For
- Strong organizational skills and attention to detail
- Comfortable balancing multiple responsibilities in a fast-paced environment
- Professional communication skills (phone, email, in-person)
- Customer-first mindset with a problem-solving approach
- Ability to work independently while supporting a team
Preferred (but not required):
- Experience in an administrative, customer service, or operations role
- Exposure to order processing, inventory, or light sales support
- Familiarity with CRM or sales/order systems
Physical Requirements
- Ability to lift up to 40 lbs independently and up to 100 lbs with assistance
- Comfortable with shipping/receiving and handling inventory
