About Us:
RSBS Management, Inc. is looking for a dependable and professional Customer Service Representative to join our Rochester office. This position is responsible for assisting customers, answering calls and emails, entering accurate information into company systems, supporting scheduling, and helping the office and operations team stay organized.
This is an onsite Monday–Friday position. It is not remote or hybrid.
The ideal candidate is organized, detail-oriented, comfortable communicating with customers, and able to handle a fast-paced office environment.
Primary Responsibilities
Customer Service & Office Support
- Answer incoming phone calls and direct inquiries appropriately.
- Assist customers with scheduling, service questions, account updates, and general support.
- Maintain professional and courteous communication with customers, vendors, field staff, and management.
- Respond to emails and office correspondence in a timely and professional manner.
- Help maintain customer records, job information, and office documentation.
- Support general office organization, filing, and document management.
Data Entry & System Updates
- Enter and update customer, job, estimate, invoice, and work order information.
- Assist with data entry in QuickBooks and other company software systems.
- Update job notes, service details, schedules, and customer account information.
- Review information for accuracy and help identify missing or incomplete details.
- Maintain organized records and support internal office workflows.
Scheduling & Operations Support
- Assist with coordinating service appointments, crew schedules, and job assignments.
- Communicate updates between customers, office staff, managers, and field crews.
- Help track customer requests, job progress, and follow-up items.
- Support daily office and operations tasks as needed.
Additional Support Duties
This position may also assist with basic administrative support for accounting, HR, and office operations as needed. These are not the primary duties of the role but may include:
- Helping process invoices, payments, deposits, and basic financial records.
- Assisting with accounts receivable follow-up and customer billing questions.
- Supporting accounts payable documentation and vendor record updates.
- Assisting with new employee onboarding paperwork and system setup.
- Helping with employee communication, forms, and basic HR-related documentation.
- Ordering and managing office supplies as needed.
- Assisting management with other office or administrative tasks.
Qualifications
- Previous customer service, office support, administrative, dispatch, or data entry experience preferred.
- Professional phone and email communication skills.
- Strong attention to detail and accuracy.
- Comfortable using computers, email, spreadsheets, and business software.
- QuickBooks experience preferred but not required.
- Ability to multitask and stay organized during busy periods.
- Reliable, punctual, and able to work onsite Monday through Friday.
- Experience in landscaping, construction, property maintenance, or service-based businesses is a plus.
- Willingness to assist with basic accounting, HR, and administrative support tasks as needed.
Ideal Candidate
We are looking for someone who communicates well, stays organized, and enters information accurately. This person should be able to follow through, document details, and help prevent customer or job information from falling through the cracks.

Pay: $18.00 - $22.00 per hour
