Charlotte Bay Rehab and Care Center is seeking a friendly, organized, and dependable Receptionist to serve as the first point of contact for our facility. This role is ideal for someone who thrives in a fast-paced healthcare environment and enjoys providing excellent customer service to residents, families, and staff.
Answer incoming telephone calls, determine the nature of calls, and direct callers to the appropriate staff or department
Greet visitors, residents, and guests warmly and direct them to the appropriate location
Issue and collect visitor identification badges and maintain visitor logs
Assist department directors with administrative tasks such as typing reports, correspondence, and filing
Support general administrative duties including document management, posting accounts, and record keeping
Assist the payroll clerk with administrative functions as needed
Maintain up-to-date directories including resident listings, room numbers, emergency contacts, and key personnel
Track and manage key dates for contracts, renewals, and administrative deadlines
Operate office equipment including copier, fax, and telephone systems
Manage phone transfers, voicemail setup, and paging systems when required
Order office supplies in accordance with facility purchasing procedures
Provide information and directions to visitors, vendors, and residents
Support inter-facility communication
Receive, sort, and distribute incoming mail
