Position Summary
DS Therapies is seeking a highly organized, dependable, and detail-oriented Administrative Assistant to support the daily operations of our ABA, Speech Therapy, and Occupational Therapy programs.
This role includes scheduling, client and employee onboarding, records management, credentialing support, and communication with families, employees, providers, and insurance companies. The ideal candidate is proactive, comfortable managing multiple priorities, and able to respond calmly and efficiently to daily changes.
This is a full-time, in-person position, Monday through Friday, from 7:30 a.m. to 4:00 p.m.
Responsibilities

Answer phone calls, monitor emails and messages, and communicate updates to families and employees.

Manage daily client and employee schedules, including absences, call-outs, coverage, lunches, and schedule changes.

Support new-client intake

Assist with new-employee onboarding, system access, personnel files, and offboarding.

Maintain accurate employee and client records across CentralReach, Google Drive, spreadsheets, and insurance portals.

Monitor employee licenses, certifications, background screenings, and required trainings.

Assist with credentialing applications, provider enrollments, roster updates, and insurance follow-up.

Provide general administrative and operational support to the Clinical Director and team.

Complete special projects and other duties as assigned.
Qualifications

Bachelor’s degree preferred.

Previous administrative, scheduling, or therapy-office experience preferred.

Strong organizational, communication, and time-management skills.

Ability to manage frequent changes, competing priorities, and deadlines.

Strong attention to detail and problem-solving skills.

Ability to maintain confidentiality and handle sensitive client and employee information.

Proficiency with Google Workspace and Microsoft Office.

Experience with CentralReach, Canva, DocuSign, insurance portals, or credentialing systems preferred or willingness to learn

Knowledge of ABA, Speech Therapy, or Occupational Therapy is preferred, or willingness to learn quickly.

Must be timely, reliable, and interested in long-term employment.

Successful completion of a Level 2 background screening is required.
