Position Description:
The primary responsibility of the Exhibits Coordinator is to support tradeshow department in ensuring that current and emerging needs for a BlueHive Pharmaceutical Client are met. The Exhibits Coordinator is accountable for core responsibilities and will help facilitate effective completion of deliverables, by working closely with cross-functional team members to support brand objectives and collaborate with medical, regulatory, compliance, AP, etc. as needed.
Core Responsibilities:
>Support the local exhibit program initiated by Client’s Sales and Marketing Departments
>Review and approve ensuring each event meet criteria within process which include:
-Liaising with external vendors for exhibit registration and payment coordination
-Liaising with internal customers regarding status, payments and final approval of events
-Managing the documentation process through SalesForce and other platforms such as Dolphin and Concur
> Tightly manage the prioritization of processing requests ensuring each event is fully processed at least 60 days in advance of event date with ability to manage events that may require processing up to 6 months in advance
>Manage inventory of Critical Care Tabletop displays (distribution, tracking, and recovery)
> Support Tradeshow department with other ad hock tasks as needed
-Assemble event presentation decks
-Acquire exhibitor kits and exhibit hall floor plans for submission to exhibit house
-Coordinate logistics
-As needed basis attendance at conferences to provide sales and marketing with show site support
Requirements:
· 2 -3 years plus experience in tradeshows(or event planning); previous experience in pharma, life sciences preferred
· Understanding and ability to apply principals of pharma guidelines and company policies as they relate to pharma tradeshows
· Strong, professional, and effective written and verbal communications
· Excellent organizational skills
· Strong time management and project management skills
· Proficient in Microsoft Office Suite (e.g., Word, Excel, PowerPoint, and Outlook)
· Must be a self-starter with the ability to work independently and as part of a team
· Effectively manage a high volume of work in a fast-paced environment
· BA/BS degree in business or marketing preferred
· Extra hours may be required to complete responsibilities during peak/high volume periods
· Professional and conservative appearance for medical conference attendance and Client meetings
· Up to 5% travel required (may include weekends)
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
