We are seeking a Spanish speaking, detail-oriented and compassionate Scheduler/Operator to join our team in our Santa Cruz and Monterey Co. locations. The ideal candidate will be responsible for managing front office operations, scheduling patient appointments, and providing excellent customer service to patients and visitors. This role requires strong organizational skills, the ability to maintain confidentiality, and a commitment to professional behavior and patient care.
- Welcome patients and visitors in person or on the telephone.
- Follow front office protocol to maintain the front office environment.
- Adhere to the guidelines of the Statement of Professional Behavior.
- Open and close the office as required.
- Check in patients efficiently and courteously.
- Maintain patient records by verifying and updating demographic, insurance, and other necessary information in computer records.
- Answer telephone calls and screen them appropriately.
- Make telephone reminder calls as appropriate to ensure patient attendance.
- Optimize patient satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
- Collect copayments and past due balances from patient accounts.
- Provide patients with documents that may need to be completed prior to their visit.
- Comfort patients by anticipating anxieties, answering questions, and maintaining a welcoming reception area.
- Ensure availability of treatment information by filing and retrieving patient records as needed.
- Create and fax requested information promptly and accurately.
- Maintain satisfactory, regular, and predictable attendance by reporting to work as scheduled and minimizing unscheduled absences.
- Maintain patient confidentiality and comply with HIPAA guidelines at all times.
- Assist patients in distress by responding appropriately to emergencies.
- Protect patients' rights by safeguarding personal and financial information.
- Maintain smooth office operations by following policies and procedures and reporting needed changes.
- Contribute to team efforts by accomplishing related results as needed.
