Bookkeeper / Finance & Administrative Coordinator
Roofscapes NW, Inc. is seeking an experienced, detail-oriented Bookkeeper and Finance & Administrative Coordinator to oversee the day-to-day financial functions of our growing roofing company.
This is an important role within our organization. The ideal candidate will be highly organized, dependable, comfortable working independently, and able to maintain accurate financial records while helping company leadership understand the financial health of the business.
In addition to bookkeeping and financial reporting, this position will provide occasional administrative support to our Human Resources and Customer Service departments when additional coverage is needed.
Primary ResponsibilitiesBookkeeping and Financial Management
- Manage accounts payable and accounts receivable
- Process vendor bills, customer payments, deposits, and payment applications
- Maintain accurate financial records in QuickBooks Online
- Reconcile bank accounts, credit cards, loans, and other financial accounts
- Assist with payroll processing and payroll-related reporting
- Track project costs, labor, materials, subcontractors, commissions, and profitability
- Maintain accurate job costing for roofing projects
- Prepare and review invoices, statements, aging reports, and collection records
- Monitor outstanding customer balances and assist with collection efforts
- Maintain vendor, subcontractor, insurance, and tax documentation
- Assist with sales tax, payroll tax, workers’ compensation, and other required financial reporting
- Coordinate with the company’s CPA, payroll provider, insurance representatives, and financial partners
Auditing and Reporting
- Audit transactions, job files, purchase records, and accounting entries for accuracy
- Review financial processes and identify missing documentation or discrepancies
- Prepare weekly, monthly, quarterly, and annual financial reports
- Provide leadership with cash-flow, revenue, expense, accounts receivable, and profitability reports
- Compare estimates, budgets, and actual project costs
- Monitor company spending and help maintain financial controls
- Assist with budgeting, forecasting, and year-end preparation
- Maintain organized, audit-ready financial records
Human Resources and Customer Service Support
- Provide administrative support for employee onboarding and offboarding
- Assist with payroll records, personnel documentation, benefits administration, and compliance tracking
- Help maintain employee files, training records, certifications, and company forms
- Provide occasional overflow support by answering phones, responding to customers, scheduling appointments, or assisting with customer follow-up
- Help keep internal systems, customer records, and project documentation complete and organized
- Support the office team during employee absences, high-volume periods, and special projects
Qualifications
- At least 3 years of bookkeeping, accounting, or financial administration experience preferred
- Strong working knowledge of QuickBooks Online
- Experience with accounts payable, accounts receivable, reconciliations, payroll support, and financial reporting
- Job-costing experience strongly preferred
- Construction, roofing, home-services, or project-based accounting experience is highly desirable
- Strong Microsoft Excel or Google Sheets skills
- High level of accuracy, organization, discretion, and follow-through
- Ability to identify discrepancies and confidently ask questions
- Comfortable managing multiple priorities and meeting deadlines
- Strong written and verbal communication skills
- Ability to handle confidential employee, customer, and financial information
- Willingness to support different departments when business needs require it

Location: Federal Way, Washington
Compensation: $23-30/per hour, depending on experience
