Crossroads Behavior Consultation is hiring an Office Support Specialist to help support the daily operations of our pediatric ABA agency in Winnemucca, Nevada. This position is ideal for someone who is organized, dependable, professional, and comfortable balancing multiple administrative responsibilities in a busy clinical setting.
This role supports the behind-the-scenes systems that help children, families, clinicians, and staff receive high-quality services. The position includes responsibilities in human resources, clinical flow, administrative support, and insurance billing. The right person will be detail-oriented, able to communicate clearly, and willing to learn the moving parts of a pediatric behavioral health practice.
Position Overview
The Office Support Specialist plays an important role in keeping the clinic running smoothly. This person helps support staff onboarding and scheduling, assists with clinical coordination and daily clinic flow, completes administrative tasks, and supports insurance-related processes such as verification, authorizations, billing follow-up, and documentation tracking.
This is a strong fit for someone who enjoys structure, problem-solving, communication, and being part of a team that serves children and families.
Key Responsibilities
Human Resources Support
- Assist with onboarding new employees and maintaining employee files.
- Support hiring paperwork, training documentation, credential tracking, and compliance records.
- Help track staff certifications, background checks, required trainings, and renewal deadlines.
- Assist with staff schedules, attendance tracking, and timecard review.
- Communicate professionally with staff regarding administrative needs, documentation, and deadlines.
Clinical Flow and Daily Operations
- Support daily clinic flow, staff coverage, client schedules, and communication between clinical and administrative teams.
- Assist with schedule changes, cancellations, make-up sessions, and room or staffing coordination.
- Help ensure families, clients, and staff receive timely and accurate communication.
- Support front office needs and maintain a welcoming, professional environment.
- Assist with organizing materials, forms, and systems that support clinical services.
Administrative Assistance
- Answer phones, respond to emails, and route communication appropriately.
- Maintain organized digital and paper records.
- Prepare forms, letters, reports, and other administrative documents as needed.
- Assist leadership and clinical staff with projects, tracking systems, and follow-up tasks.
- Support office organization, supply tracking, and general day-to-day administrative needs.
- Facilitate technical assistance
Insurance Billing and Authorization Support
- Assist with insurance verification and benefit checks.
- Support prior authorization tracking and documentation follow-up.
- Help monitor authorization dates, units, and service approvals.
- Assist with billing preparation, claim follow-up, and communication regarding insurance needs.
- Maintain accurate records related to insurance, billing, and client documentation.
Ideal Candidate
The ideal candidate is someone who is organized, calm under pressure, and able to manage details without losing sight of the people we serve. This person should be comfortable working in a pediatric setting, communicating with families and staff, and learning healthcare, insurance, and ABA-specific systems.

Preferred Skills and Experience
- Experience in a medical, pediatric, therapy, behavioral health, or ABA setting preferred.
- Experience with scheduling, office coordination, human resources, or insurance billing helpful.
- Strong organization and follow-through.
- Ability to maintain confidentiality and follow HIPAA expectations.
- Clear written and verbal communication skills.
- Comfort using electronic systems, email, spreadsheets, and office software.
- Ability to manage multiple priorities in a busy environment.
- Professional and friendly communication with families, staff, and providers.
- Strong attention to detail.
