Company Overview
We are a fast-paced, high-volume irrigation and sprinkler company dedicated to providing top-notch service to our residential and commercial clients. We are currently seeking an experienced and proactive Office Manager to oversee our administrative workflows, lead our customer service efforts, and optimize our scheduling.
Position Summary
The Office Manager serves as the central hub of our daily business activities. This role requires a professional who thrives in a fast-paced, high-volume environment, with a primary focus on heavy inbound call management and complex logistics/dispatch scheduling. The ideal candidate will possess the organizational acumen to optimize field technician routing, the communication skills to elevate the client experience, and the administrative expertise to keep the office running seamlessly.
Key Responsibilities
- High-Volume Scheduling & Dispatch: Manage the daily schedules and routes for multiple field technicians. Maximize route efficiency and strategically accommodate urgent or emergency service requests.
- Inbound Communication Management: Serve as a primary point of contact for clients. Efficiently manage a high volume of incoming calls, qualify service needs, and convert inquiries into scheduled appointments.
- Client Relations: Address and resolve complex client inquiries, billing discrepancies, and service adjustments with a high degree of professionalism and accuracy.
- Administrative & Financial Operations: Oversee billing, invoicing, and payment processing. Manage accounts receivable follow-ups and maintain precise digital client records.
- Office Management: Oversee daily administrative workflows, manage vendor relationships for office supplies and utilities, and provide operational support to executive leadership as required.
Qualifications & Skills
- Experience: Minimum of 3–5 years of experience in office management, logistics, or dispatch operations. Prior experience within the home services, landscaping, plumbing, or HVAC industries is huge bonus.
- Logistical Aptitude: Proven ability to manage multi-tiered schedules and solve complex routing challenges in real time, particularly during peak seasonal demands.
- Communication Skills: Exceptional verbal and written communication skills, with a proven track record of handling high-volume phone lines with poise and clarity.
- Technical Proficiency: Advanced literacy in service scheduling software (e.g., Service Titan, Hind Site) and standard business platforms (Microsoft Office Suite, Google Workspace). Experienced with both QuickBooks desktop and cloud-based versions.
