We’re looking for a Field Service Operations Administrator to join our team in Columbia, SC. This is a key on-site support role where you’ll primarily close Salesforce work orders (40–60 per day) while also providing backup coverage for dispatch and assisting with Smartsheet tracking and occasional Business Central invoicing. You’ll be the steady, accurate hub that helps our field technicians, service managers, and billing team stay aligned and efficient.What You’ll Do:
- Review and accurately close 40–60 Salesforce work orders daily — verifying service details, parts, labor hours, notes, and all required fields so billing is correct and technicians receive proper credit.
- Maintain exceptional data quality and attention to detail that directly supports revenue recognition, performance reporting, and operational KPIs.
- Update and maintain operational dashboards, project trackers, and reports in Smartsheet as needed.
- Provide backup support to our dispatch team during peak times, vacations, or high-volume days (scheduling, customer communication, and prioritizing service requests) — full training provided.
- Assist with invoicing, credit memos, and related processes in Microsoft Dynamics 365 Business Central when extra support is needed.
- Collaborate with technicians, service leaders, and the billing team to quickly resolve discrepancies and improve processes.
- Bring a positive, reliable presence to the office and help keep regional service operations running smoothly.
This is a full-time, on-site position based in our Columbia, SC office. Business hours, Monday–Friday. No field work or travel required — you’ll work alongside the service leadership team in a professional office environment.
What We’re Looking For:
- 1–3+ years of administrative, operations support, or service coordination experience (field service, maintenance, logistics, or similar environments preferred).
- Hands-on Salesforce experience, especially closing work orders or using Service Cloud / Field Service tools. (This is a must — you should feel comfortable navigating Salesforce daily.)
- Strong attention to detail and accuracy. You catch small errors and take ownership of data quality.
- Comfortable with high-volume, focused work while maintaining speed and quality.
- Proficiency with Microsoft Office (especially Excel and Outlook) and quick to learn new platforms.
- Solid written and verbal communication skills — you’ll interact with technicians, managers, and customers.
- Reliable, adaptable team player who can shift between independent focused work and supporting the broader team.
- Willingness to cross-train and occasionally cover dispatch functions.
Nice to Have (but not required):
- Experience with Smartsheet and/or Microsoft Dynamics 365 Business Central (or similar ERP/accounting systems).
- Previous dispatch, scheduling, or customer service coordination background.
- Experience in equipment service, maintenance, or a related industry.
