Job Summary
We are seeking an experienced and highly organized Surgical Coordinator to join our orthopedic practice. The ideal candidate will have previous experience coordinating surgical procedures and managing the surgical process from scheduling through completion.
The Surgical Coordinator will serve as the main point of contact between patients, physicians, clinical staff, surgical facilities, and insurance companies to ensure a smooth and efficient surgical experience.
Prior surgical coordination experience is strongly preferred. Candidates without previous experience coordinating surgical procedures will not be considered.
Fluent English and Spanish communication skills are required.
This position requires excellent organization, attention to detail, strong follow-up skills, and the ability to manage multiple surgical cases in a fast-paced orthopedic environment.
Schedule & Locations
This is a full-time position combining clinic and administrative responsibilities.
Our orthopedic practice operates at three clinic locations in Miami-Dade County and one clinic location in Broward County. The position requires flexibility and reliable transportation to work at different locations.
During the first three weeks of the month, employees typically work approximately two clinic days per week. The final week of the month includes approximately six clinic days. Remaining workdays are dedicated to administrative responsibilities at our Hialeah administrative office (non-clinic location).
The position requires working approximately two Saturdays per month based on the clinic schedule.
Candidates must be flexible with the monthly clinic schedule and willing to work Saturdays as part of the position requirements.
Responsibilities
- Coordinate surgical procedures from the initial surgical decision through the scheduled procedure date.
- Schedule surgeries with hospitals and ambulatory surgical centers.
- Prepare and submit surgical booking sheets and required documentation.
- Coordinate insurance authorizations and verify completion of required approvals.
- Coordinate pre-operative medical clearances, laboratory testing, imaging, and other required testing.
- Communicate with patients regarding surgery dates, pre-operative instructions, required appointments, and preparation.
- Ensure all necessary documentation, medical records, imaging, clearances, and authorizations are complete before surgery.
- Maintain communication with physicians, clinical staff, surgical facilities, insurance companies, and patients.
- Follow up on outstanding requirements to prevent surgical delays or cancellations.
- Maintain accurate documentation in the electronic medical record (EMR).
- Maintain HIPAA compliance and patient confidentiality.
- Assist with additional administrative duties related to surgical and clinical operations.
Qualifications
- Previous experience as a Surgical Coordinator or Surgical Scheduler is required.
- Orthopedic surgery experience is strongly preferred.
- Experience coordinating surgeries with hospitals and/or ambulatory surgical centers.
- Knowledge of surgical scheduling workflow, authorizations, and pre-operative requirements.
- Familiarity with medical terminology and orthopedic procedures preferred.
- Experience using an EMR/EHR system (eClinicalWorks experience is a plus).
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent communication skills with patients, providers, and healthcare facilities.
- Detail-oriented with strong problem-solving and follow-up abilities.
- Knowledge of HIPAA requirements and patient confidentiality.
- Fluent in English and Spanish required.
- Reliable transportation and willingness to travel between office locations.
Pay: $25.00 - $30.00 per hour
