CASE MANAGEMENT SPECIALIST/COORDINATOR

Full time, Non-Exempt 35-40 hours per week
Hourly Wage: $17.50-$20.00 based on experience and qualifications
- Flexible daytime work schedule but may need to work one evening (Monday-Thursday) per week until 7pm. A 4-day workweek may be available after 6 months of employment, depending on performance and adequate staffing coverage

POSITION SUMMARY
The Case Management Specialist/Coordinator is often the first point of contact for those seeking mediation and other dispute resolution services in Jefferson, Lewis, and St. Lawrence Counties. We are looking for someone who is warm, professional, and genuinely enjoys helping people—someone who is great on the phone, a compassionate and empathetic listener, and committed to excellent customer service. This position also requires exceptional organization, dependability, time-management skills, and follow-through, as the employee must successfully manage multiple cases, tasks, and competing deadlines at the same time.
PRIMARY JOB DUTIES
- Manage a high-volume caseload from referral through closure, ensuring cases progress promptly and all required actions are completed by deadlines.
- Respond professionally and promptly to inquiries and referrals from courts, agencies, individuals, and businesses seeking dispute resolution services.
- Conduct client intakes and required safety screenings and assist in determining whether cases are appropriate for service.
- Enter and maintain accurate, organized, and confidential case information in the case-management system and paper files.
- Coordinate schedules among parties, mediators, staff, and other involved individuals for in-person or virtual sessions and follow-up appointments.
- Track client responses, appointments, deadlines, fees, reporting requirements, and other outstanding case needs.
- Prepare and distribute correspondence, notices, agreements, court documents, and other case-related materials.
- Participate in outreach and assist with agency programs, projects, and events as needed and assigned.
REQUIRED QUALIFICATIONS
- Must successfully complete all required training provided by the agency to become a certified mediator and maintain that certification throughout employment.
- A high school diploma or equivalent.
- At least 2 years of Case Management experience within the past 5 years using an electronic system.
- Has exceptional time management and organizational skills to effectively juggle multiple cases, deadlines, calendars, etc.
- Must have very good technical writing and editing skills for helping draft legal documents OR the ability to use AI software.
- Proficient in Microsoft Outlook and Word, Google Calendar, Zoom, and other commonly used workplace technology, with the initiative and ability to adapt to technological changes.
- Must be dependable and work with minimal personal disruptions.
- Have a flexible schedule that allows for work during occasional evenings.
- Must successfully complete and maintain all required background checks and clearances, including State Central Register (SCR) clearance, throughout employment.
- Have a valid driver’s license, automobile insurance and reliable personal transportation.
- Stable internet and private space at home for remote work, as needed.
PREFERRED QUALIFICATIONS
- Associates Degree in human services, criminal justice, legal studies, or business administration.
- Formal mediation training.
- Demonstrated knowledge of community and social service agencies, and courts.
- Professional training in the field of domestic violence.
PHYSICAL AND TRAVEL REQUIREMENTS
· Ability to access multilevel buildings and climb up to four flights of stairs if the elevator is unavailable at the Watertown office.
· Willingness and ability to travel among the three counties up to two days per month, as needed. Travel outside the tri-county region may be needed to complete trainings and may require overnight stays.
· Ability to perform shared routine cleaning duties in common office areas, including mopping floors, cleaning the restroom, removing garbage, and similar tasks.
Pay: $17.50 - $20.00 per hour
