Role: The Policy and Procedures Specialists contributes to the obtainment of CapEd’s business objectives and mission by implementing managing the credit union’s policy governance framework, ensuring policies and procedures are current, aligned with regulatory requirements, and approved in accordance with governance standards. This position is responsible for creating and maintaining standard operating procedures framework for the organization and partners with business stakeholders to collect, understand and document operational processes, work practices, and system functionality. This position is considered a subject matter expert (SME) of policy and technical procedure writing and uses expertise to assist employees with questions, solve escalated member issues within approval and position authority, assist with training for employees, and support projects.
Essential Functions & Responsibilities:
Policy and Procedure Governance

Coordinate annual policy attestation process.

Track policy review cycles and approvals.

Ensure all policies meet regulatory expectations.

Update policies in response to regulatory changes.

Cross reference regulatory citations.
-
Ensure procedures align with policy intent.
Documentation Control
-
Maintain centralized policy and procedure repositories.
-
Maintain version control and approval tracking.
-
Ensure audit ready documentation standards and templates and enforce application.

Support examiner requests for policy documentation.
Governance Reporting
-
Provide quarterly policy status report to the Compliance Manager.

Identify gaps or outdated documentation.
Technical Procedure Creation
-
Creates technical material, including how to guides, instruction manuals, checklists and forms for clear and concise policies and procedures.

Verify that workflows are in the correct sequence.

Ensures technical verbiage and content is easy to understand by end users.

Proofreads for grammar, spelling, and adherence to standards.

Collaborate with department SMEs and support the Procedure’s Committee with creation and updates of procedures.

Participates in projects that develop new or adjust current processes.

Utilizes applicable change management methodology and project management processes to assure effective implementation and adoption of policies and procedures

Maintains knowledge of all Credit Union products, services, and promotions

Contributes to efficient Credit Union operations by performing other job related duties as assigned.
Knowledge and Skills:
Experience: Three years to five years of experience in procedure writing, policy governance, compliance, or auditing.
Education: (1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.

Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The worker is subject to inside environmental conditions: protection from weather conditions but not necessarily from temperature changes and/or seasonal brightness through windows. This position may involve periodic stressful conditions. The Credit Union's business days are Monday through Saturday between the hours of 8:00 a.m. to 6:30 p.m.; however, this position may occasionally require an adjusted work schedule, overtime, and to include evening/weekend hours. The noise level in the work environment is usually moderate.
