Executive Assistant Position:
P.A.A.C. is a high-volume nonprofit veterinary organization serving communities throughout South Texas. We are seeking a highly organized, disciplined, and motivated Executive Assistant to support the Executive Director and assist with the daily administrative operations of a fast-paced nonprofit veterinary organization.
This position requires someone who is detail-oriented, resourceful, able to multitask, and comfortable working in a rapidly growing environment where priorities can change quickly. The ideal candidate must be able to work independently, problem solve, and figure things out without constant direction or micromanagement.
Responsibilities:
- Provide direct administrative and executive support to the Executive Director
- Manage scheduling, communications, meetings, and organizational priorities
- Assist with daily clinic operations and administrative workflow
- Coordinate projects, documents, spreadsheets, and reports
- Assist with payroll, accounts payable, and administrative financial tasks using QuickBooks
- Maintain organized records, files, and operational documents
- Assist with outreach projects, events, grants, and organizational initiatives
- Support front office operations and step in where needed
- Communicate professionally with staff, partners, donors, municipalities, and the public
- Help ensure efficiency and organization across multiple programs and clinic locations
Requirements:
- Bachelor’s degree required
- Nonprofit experience preferred
- Veterinary experience preferred
- QuickBooks and Microsoft Office proficiency required
- Strong organizational and multitasking skills
- Excellent communication and professional writing ability
- Ability to work independently and maintain confidentiality
- Have humane resource knowledge
- Strong attention to detail
- Ability to thrive in a fast-paced environment
- Self-starter who does not require micromanagement
- Must be disciplined, proactive, and able to problem solve independently
- Must be adaptable and willing to assist in all areas when needed

Full-time position with occasional evenings and weekends as needed.
